Responsibilities

Responsibility

The DCC Officer is responsible for supporting the company's Integrated Management System (IMS) document control activities and regulatory compliance administration. The role ensures all quality documents, records, customer compliance documents and supplier compliance information are maintained accurately, updated timely, and readily available to support business operations, customer requirements, certification audits and regulatory compliance. The position works closely with the QA-DCC Engineer, QA Compliance Engineer, Engineering, Production and other functional departments.

Key Responsibilities

1. Document Control Management

*Create, register, issue and maintain IMS documents including Procedures, SOPs, Wis, Forms, Manuals, Specifications, and Quality Records.

*Maintain master document lists, ensuring documents are properly coded, approved and distributed.

*Maintain hardcopy and electronic filing systems.

*Archive obsolete documents according to document retention requirements.

*Ensure only the latest revision is available for use.

2. Version Control

*Update revision history, monitor document revision status and issue-controlled copies to related departments.

*Retrieve obsolete documents from production areas and maintain document change records.

*Assist departments in document revisions and formatting.

3. Records Management

*Maintain quality records according to retention schedules and ensuring records are complete, legible and retrievable.

*Organize customer records and audit records.

*Support digital document filing and backup activities.

4. Audit Support

*Prepare document packages for Internal Audits, Customer Audits, and Certification Audits.

*Retrieve requested records during audits and maintain audit evidence files.

*Assist in tracking audit findings until closure and update audit action status.

5. Customer & Regulatory Compliance Support

*Assist the QA Compliance Engineer in:

*Customer compliance questionnaires, customer portal submissions, supplier compliance documentation, product compliance declarations, and regulatory documentation updates

*Maintain records relating to:

*Conflict Minerals (CMRT)

*RoHS

*REACH

*PFAS

*California Proposition 65

*Halogen-Free

*TSCA

* SCIP (when applicable)

*Other customer-specific compliance requirements

6. Supplier Compliance Administration

* Request declarations from suppliers, and maintain supplier compliance database.

*Follow up outstanding compliance documents and verify document validity and expiry.

*Maintain traceability records.

7. Continuous Improvement

*Identify opportunities to improve document control efficiency.

*Support implementation of electronic document management systems.

*Recommend improvements to filing, retrieval and document workflows.

* Participate in QA improvement projects.

* Support 5S and Lean documentation initiatives.

8. Training & User Support

* Brief employees on document control procedures.

* Guide departments on document request processes.

* Assist new employees regarding IMS documentation.

* Support awareness training related to document control and compliance.

Scope of the Role

1. Supports company-wide IMS documentation.

2. Supports customer and supplier compliance activities.

3. Coordinates with all departments on controlled documentation.

4. Supports ISO certification maintenance.

5. Supports customer audit readiness.

6. Maintains confidential company information and controlled documents.

Qualifications & Skills

Education

Diploma or Bachelor's Degree in Quality Management, Engineering, Business Administration, Manufacturing, Science or related discipline.

Experience

* Fresh graduates are encouraged to apply.

* 1 ~ 3 years of experience in:

* Document Control, QA Administration, Compliance Administration, Manufacturing Administration, Quality Systems is an added advantage.

* Experience in ISO 9001 or manufacturing environment is preferred.

Technical Knowledge

1. Basic knowledge of:

* ISO 9001

* Document Control Systems

* Quality Management Systems

* Microsoft Office

* Excel reporting

* Electronic filing systems

2. Knowledge of the following is an advantage:
