Job Overview

The Operations Manager will oversee daily operations, administrative functions, and HR processes while ensuring high standards of resident care delivery. This role requires familiarity with medication management and basic clinical workflows to effectively coordinate between caregivers, nurses, and medical teams.

Key Responsibilities1. Operational & Care Coordination

• Oversee day-to-day operations of the facility to ensure smooth service delivery
• Coordinate between caregivers, nurses, and doctors to ensure continuity of care
• Ensure care plans and daily routines are executed efficiently
• Support escalation of medical or operational issues when required

2. Medication Oversight (Non-Clinical Supervision)

• Ensure proper medication administration workflows are followed by nursing staff
• Monitor medication schedules, documentation, and compliance with protocols
• Liaise with nurses and doctors regarding medication updates or discrepancies
• Ensure safe storage, tracking, and handling of medications
• Support audits and ensure compliance with healthcare standards

3. Onboarding & Workforce Integration

• Oversee onboarding processes and ensure staff are trained on operational and care protocols
• Ensure proper documentation and asset issuance
• Align new hires with facility SOPs and expectations

4. Offboarding & Exit Management

• Manage employee exit processes, asset recovery, and system updates
• Identify trends from exits to improve workforce retention

5. Discipline & Performance Management

• Oversee workplace discipline and incident management
• Review and approve disciplinary documentation
• Ensure proper reporting and compliance

6. Recruitment & Staffing

• Lead recruitment planning and hiring processes
• Ensure adequate staffing levels to support care operations
• Participate in interviews and final hiring decisions

7. HR Operations & Compliance

• Oversee employee records, contracts, and probation tracking
• Ensure compliance with labour and healthcare-related regulations
• Manage leave, benefits, and staff welfare

8. Process Improvement & Quality Assurance

• Develop and implement SOPs for operational and care workflows
• Monitor service quality and identify areas for improvement
• Ensure compliance with internal standards and regulatory requirements

9. Asset & Resource Management

• Oversee tracking of company assets including medical and non-medical equipment
• Ensure proper inventory management and accountability

10. Team Leadership

• Lead and supervise administrative and operational teams
• Provide training, guidance, and performance management
• Foster a collaborative and patient-centred culture

Requirements

• Bachelor’s Degree in Healthcare Management, Nursing, Pharmacy, or related field
• Minimum 3–5 years experience in operations (healthcare / assisted living preferred)
• Familiarity with medication management and basic clinical practices
• Experience working with nurses, doctors, or care teams
• Strong leadership and problem-solving skills

Pay: RM4,000.00 - RM4,500.00 per month
