What You'll Be Doing?
The HR Executive, HR Data Administration & Payroll is responsible for maintaining accurate employee data in SAP S/4HANA and supporting payroll administration for Evyap Malaysia.
This role ensures that employee master data, employment movements, payroll inputs, statutory information, and HR records are updated accurately and on time. The role will also support monthly payroll processing, payroll validation, reporting, employee documentation, and HR operational administration. The role requires strong attention to detail, confidentiality, system discipline, payroll knowledge, and the ability to work closely with HR, Finance, employees, and external payroll or system partners.
1.HR Data Administration and SAP S/4HANA
- Maintain and update employee master data in SAP S/4HANA and other relevant HR systems.
- Ensure employee records are accurate, complete, properly approved, and updated in a timely manner.
- Manage HR data transactions related to new hires, confirmation, transfer, promotion, salary change, allowance change, reporting line change, cost center change, resignation, termination, and other employee movements.
- Ensure HR data changes are supported by proper documentation and approval.
- Maintain accurate organization, position, employee, compensation, and employment-related data in the system.
- Perform regular data checks, reconciliation, and clean-up to ensure data accuracy and integrity.
- Support HR data migration, system enhancement, testing, troubleshooting, and process improvement activities where required.
- Work with relevant stakeholders to resolve HR system or data-related issues.
2.Payroll Administration and Processing Support
- Prepare, verify, and submit monthly payroll inputs accurately and within the required timeline.
- Support payroll processing activities, including salary changes, allowances, overtime, claims, deductions, unpaid leave, new hire payment, final payment, and other payroll-related transactions.
- Validate payroll reports and check payroll accuracy before final approval.
- Support payroll reconciliation with HR records, attendance records, finance records, and statutory submissions.
- Ensure payroll changes are properly documented, approved, and maintained for audit purposes.
- Support the preparation of final salary computation for resigned or terminated employees.
- Coordinate with external payroll vendor, Finance, and relevant stakeholders to resolve payroll issues.
- Maintain strict confidentiality of salary, payroll, and employee personal information.
3.Statutory Compliance and Employee Records
- Support statutory payroll administration, including EPF, SOCSO, EIS, PCB/MTD, HRD Corp levy, and other applicable statutory requirements.
- Support annual payroll activities such as EA Form, CP8D, Borang E, and year-end payroll reporting.
- Assist in tax-related employee administration, including new joiner tax information, leaver tax clearance, and relevant statutory forms where applicable.
- Maintain accurate employee personal files, employment documents, payroll records, and statutory records.
- Ensure HR and payroll records are maintained in line with company policy, audit requirements, and applicable legal requirements.
4.HR Operations and Employee Lifecycle Administration
- Prepare and maintain HR letters and documents, including offer letters, confirmation letters, promotion letters, transfer letters, salary revision letters, employment verification letters, and resignation-related documents.
- Support onboarding administration by ensuring employee data, bank details, statutory information, and employment documents are complete before payroll cut-off.
- Support employee movement administration, including transfers, reporting line changes, job changes, and compensation updates.
- Support exit administration, including resignation records, final payment input, clearance process, and employee data updates.
- Respond to employee queries related to HR data, payroll, payslip, statutory deductions, and employment records in a professional and timely manner.
5.Reporting, Reconciliation and Audit Support
- Prepare regular HR and payroll reports, including headcount, employee movement, payroll input summary, cost center report, employee data report, and other HR operational reports.
- Support reconciliation between HR system data, payroll data, finance data, and statutory records.
- Assist in internal and external audits by preparing required HR data, payroll documents, approval records, and supporting evidence.
- Identify data gaps, payroll discrepancies, process issues, and compliance risks, and escalate where necessary.
- Recommend practical improvements to strengthen HR data accuracy, payroll control, and process efficiency.
6.Process Improvement and Digital Enablement
- Support continuous improvement of HR data administration, payroll processes, templates, trackers, and documentation.
- Use Microsoft Office, HR systems, payroll systems, and digital tools to improve accuracy, tracking, reporting, and process efficiency.
- Support automation, system enhancement, and AI-enabled tools where relevant to improve HR data management, payroll checking, reporting, and employee service delivery.
- Maintain proper work instructions, process documentation, and payroll calendars to ensure consistency and continuity.
Job Requirements
- Bachelor’s Degree in Human Resources, Business Administration, Accounting, Finance, Information Systems, or related discipline.
- Minimum 3 to 5 years of HR operations, HR data administration, payroll, or HR shared services experience.
- Hands-on experience in HR master data management and payroll administration.
- Experience using SAP S/4HANA, SAP HR, or other HRIS/payroll systems will be preferred.
- Experience supporting monthly payroll processing, payroll input validation, payroll reconciliation, and statutory administration.
- Good understanding of Malaysian payroll requirements, including EPF, SOCSO, EIS, PCB/MTD, EA Form, CP8D, and Borang E.
- Experience in manufacturing, oleochemical, FMCG, industrial, shared services, or related environment will be an added advantage.
