JOB SUMMARY

The primary focus of this position is to proactively assist and support the Assistant Manager, Admissions and International Office to provide general administration, managing student admission functions, conducting analytics, and complying with various policies and procedures relevant to the operations of the University. 

This position is responsible for providing and ensuring that the functions which include duties listed below are carried out in a highly coordinated, professional and effective manner: -

  1. Admissions (coordinate and process applications to study in the University efficiently and accurately); and
  2. Communicate with Offer Holders (System generated emails to students). 

At the discretion of Director, Future Students, the position may from time to time, be assigned to perform other functions within the Unit as and when required.  

The position will work closely with the staff at the University and will liaise with staff at other campuses to ensure consistency in corporate style and efficient use of resources.

KEY RESPONSIBILITIES AREAS

The key responsibility areas (KRAs) are the major outputs for which the position is responsible and are not a comprehensive statement of the position's activities.

  1. Operations Management
  • Maintain a record of all format credit transfer agreements on behalf of the Unit across all faculties.
  • Ensure the Unit administrative functions comply with relevant policies and procedures.
  1. Admissions
  • Coordinate the processing of applications from national or international students. This includes, but is not limited to:
    • Ensure that applications, offers and acceptances are managed accordingly and accurately to the University procedures, policies and service standards;
    • Ensure that Application Management System is maintained and applied appropriately to capture important information for reporting purposes;
    • Ensure that all students’ supporting documentation is complete;
    • Ensure that students’ personal information is kept confidential at all times unless authorised for internal transaction purposes; and
    • Assist Assistant Manager, Admissions and International Office and Director, Future Students in monitoring application turnaround times in schools to ensure agreed protocols are adhered to.
  • Contribute to the refinement of policy and procedural matters in relation to the national or international admissions functions of the University.
  • Ensure that all admissions activity complies with relevant policies and procedures.
  • Identify potential barriers to achieving admissions targets and take corrective action.
  1. Analytics
  • Provide relevant data analytics report to Assistant Manager, Admissions and International Office to aid reporting and development of student recruitment strategies.  
  1. Relationship Management
  1. External
  • Manage a diverse range of stakeholders including agents, sponsoring organisations, educational institutions, and government bodies.
  • Monitor the advice provided to applicants by other Units and agents to ensure that accurate information is being provided.
  1. Internal
  • Build and maintain effective working relationships with relevant staff members within the University and the Main Campus.
  • Ensure that all relevant parties are updated regularly with changes to admissions and administrations policies and procedures.
  1. Staff Management and Development
  • Provide leadership and guidance to admissions and financial advisory team members.
  • Ensure the efficient operations of the admissions and financial advisory team.
  • Ensure that team workflows are managed, capacity is measured, and work is allocated accordingly.
  • Device work procedures and systems that enable a seamless interaction between admissions and student recruitment functions.
  • Ensure that performance plans are developed for staffs, and progress is monitored.
  1. Other Duties
  • Any other duties as and when required and directed by the Assistant Manager, Admissions and International Office; or Director, Future Students; or PVC&CEO (Sarawak); or any other person as assigned by an authorised personnel.

JOB REQUIREMENTS

  • A Bachelor’s degree in a relevant discipline from a recognised institution with at least three (3) years relevant work experience.
  • Master’s degree holders in relevant discipline can be considered.
  • An excellent command of written and spoken English and Bahasa Malaysia.
  • Good problem solving and negotiation skills.
  • Ability to monitor, analyse and report on admissions data, and to identify lead indicators and take necessary action.
  • High level of computer skills including competent use of MS Words, Excel, and web applications or similar computing packages.
  • Ability to handle multiple priorities, and successfully prioritise and identify the best course of action in the implementation of administration tasks.
  • Proven ability to manage clients, stakeholders and business partners from a wide range of backgrounds and cultural expectations.
  • Knowledge of the Malaysian education system and an understanding of the key issues relating to the marketing and provision of private tertiary education in Malaysia.
  • Knowledge of International education system in supporting the matching and assessment of global entry.
