Key Responsibilities

Procurement & Purchasing

  • Source, evaluate, and negotiate with suppliers for best pricing, quality, delivery, and payment terms.

  • Issue Purchase Orders (PO) accurately and timely.

  • Ensure all purchases comply with approved procurement procedures and authority matrix.

  • Monitor stock levels and coordinate replenishment planning.

  • Conduct price comparison and cost analysis before purchases.

  • Follow up closely with suppliers on delivery schedules and shortages.

Supplier Management

  • Develop and maintain good relationships with suppliers and vendors.

  • Assist in evaluating supplier performance based on pricing, quality, service, and delivery performance.

  • Source for alternative suppliers to reduce supply risk.

  • Assist in resolving supplier disputes, pricing discrepancies, and delivery issues.

Inventory & Cost Control

  • Monitor inventory turnover and avoid overstock or stock shortages.

  • Coordinate with warehouse/outlet/operations team on stock requirements.

  • Analyse purchasing trends and support cost-saving initiatives.

  • Support dead stock control and slow-moving inventory management.

Documentation & Compliance

  • Ensure all procurement documents are properly maintained:

    • Purchase Requisition (PR)

    • Purchase Order (PO)

    • Delivery Order (DO)

    • Supplier Invoice

    • Credit Note (CN)

  • Ensure proper matching between PO, DO, and Invoice.

  • Maintain proper filing and procurement records for audit purposes.

  • Ensure compliance with company SOP and internal controls.

Coordination & Reporting

  • Coordinate with finance department regarding payment processing and supplier reconciliation.

  • Prepare procurement reports, price analysis, supplier comparison, and purchasing summaries.

  • Support ERP/system maintenance for purchase master data.

Team Leadership (if applicable)

  • Senior-level employees may be required to guide and mentor junior procurement staff.

  • Support training on procurement SOPs and purchasing workflows.

  • Contribute ideas to improve procurement processes and operational efficiency.

Requirements

Education

  • Diploma or Bachelor’s Degree in:

    • Business Administration

    • Supply Chain Management

    • Procurement

    • Logistics

    • or related field

Experience

  • Fresh graduates with relevant qualifications are encouraged to apply.

  • Candidates with 1–3 years of relevant experience may be considered for the Junior Procurement Executive position.

  • Candidates with 3 years or above of relevant experience may be considered for the Senior Procurement Executive position.

  • Experience in retail, FMCG, convenience store, manufacturing, or logistics industry is an advantage.

  • Experience in supplier negotiation, inventory planning, and purchasing operations is preferred.

Technical Skills

  • Familiar with ERP or accounting systems (e.g. AutoCount, StoreHub) is an advantage.

Soft Skills

  • Strong negotiation and communication skills.

  • Good problem-solving ability.

  • Detail-oriented and well organized.

  • Able to work under pressure and meet deadlines.

  • Good teamwork and coordination skills.

Additional Responsibilities (Senior Position)
  • Vendor performance KPI monitoring

  • Procurement SOP implementation

  • Lead cost-saving projects and sourcing initiatives.

  • Coordinate multi-branch purchasing activities.

  • Coordinate import purchasing activities (if applicable).

Salary:Successful candidates will be offered either a Junior Procurement Executive or Senior Procurement Executive position based on their qualifications, relevant experience, and competencies. Salary will be commensurate with experience.
