About the role

We are seeking a Logistic Executive to join YOKOHAMA TYRE SALES MALAYSIA SDN. BHD. in a full-time position based in Setia Alam, Selangor. This is a pivotal role within our warehousing, storage and distribution operations, responsible for coordinating and optimising logistics activities to ensure efficient movement of products throughout our supply chain. As a Logistic Executive, you will play a crucial part in maintaining our operational excellence and supporting the company's strategic growth objectives in the automotive tyre distribution sector.

Key responsibilities

1. Coordinate with shipping lines, freight forwarders, transport companies, couriers, overseas agents, customs brokers, and customers to ensure smooth logistics operations.

2. Liaise with third-party logistics (3PL) service providers to ensure timely inbound and outbound deliveries, warehouse operations, and service performance.

3. Negotiate competitive freight rates and transportation costs while ensuring service quality and cost efficiency.

4. Plan, arrange, and monitor import and export shipments for both domestic and international deliveries.

5. Prepare, review, and verify shipping documentation, including Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin (COO), Insurance Documents, Consignment Notes, and customs declarations.

6. Ensure all shipping documentation complies with customer requirements, customs regulations, and company policies.

7. Coordinate haulage, vessel bookings, transportation schedules, and warehouse deliveries to meet customer requirements.

8. Prepare and submit Certificates of Origin (COO) and other trade-related documentation to relevant authorities such as MITI.

9. Monitor shipment progress and proactively resolve transportation, customs clearance, delivery, or logistics-related issues.

10. Liaise closely with transport companies and 3PL providers to ensure on-time deliveries and efficient distribution operations.

11. Verify and process logistics-related invoices, including freight, transportation, warehousing, customs, and forwarding charges, ensuring billing accuracy before submission for payment.

12. Reconcile logistics service provider invoices against quotations, delivery records, and agreed contractual rates.

13. Maintain accurate logistics records, shipment reports, freight costs, and billing documentation.

14. Coordinate with internal departments, including Sales, Customer Service, Warehouse, Purchasing, and Finance, to ensure smooth order fulfilment and billing processes.

15. Ensure compliance with company policies, import/export regulations, and Letter of Credit (L/C) requirements where applicable.

16. Identify opportunities to improve logistics processes, reduce transportation costs, and enhance operational efficiency.

17. Prepare periodic logistics performance reports and monitor key performance indicators (KPIs) for transport and warehouse service providers.

18. Perform any other duties assigned by the immediate superior.

What we're looking for

1. Diploma or Bachelor's degree in Logistics, Supply Chain Management, Business Administration or a related field

2. Minimum 2-3 years of experience in logistics, warehouse management or distribution operations

3. Proficiency in warehouse management systems (WMS) and logistics software

4. Strong knowledge of inventory management principles and best practices

5. Excellent organisational and time management skills with the ability to prioritise multiple tasks

6. Proficient in Microsoft Office applications, particularly Excel

7. Good communication and interpersonal skills to liaise effectively with internal teams and external partners

8. Attention to detail and accuracy in documentation and record-keeping

9. Ability to work in a fast-paced environment and adapt to changing requirements

10. Knowledge of the automotive or tyre industry is advantageous

11. Valid driving licence and willingness to travel when required
