Job Purpose
The PMO Administrator provides administrative, documentation, reporting and coordination support to the Project Management Office by maintaining project information, monitoring project performance data ensuring compliance with PMO processes and supporting the implementation and administration of project management systems to facilitate efficient project delivery.
Key Responsibilities
- Maintain, organize and update project documentation, records, registers, trackers, and filing systems to ensure information is accurate, complete, current and readily accessible.
- Monitor project schedules, milestones, deliverables and outstanding action items and follow up with project teams to obtain timely updates and information.
- Maintain project registers, including risk registers, issue logs, change records, stakeholder records, lessons learned and other PMO documentation.
- Ensure all project documentation is properly controlled, versioned, filed and maintained in accordance with company document control procedures and PMO requirements.
- Coordinate project meetings by preparing agendas, recording meeting minutes, tracking action items and monitoring their timely closure.
- Provide administrative and coordination support to the Director of Project Management and project teams throughout the project lifecycle.
- Liaise with internal departments stakeholders to facilitate effective communication and coordination of project-related administrative matters.
- Coordinate the preparation, collection and submission of documentation required for project mobilization, implementation, handover and close-out activities.
- Maintain subcontractor, supplier, vendor and project-related information and documentation to support project administration and compliance.
- Monitor project Key Performance Indicators (KPIs) and maintain PMO dashboards, reporting tools and performance trackers to support management reporting and decision making.
- Review and verify project information to ensure data accuracy, consistency and integrity across reports, registers, dashboards and project management records.
- Coordinate with external software developers during the implementation and enhancement of the PMO software by providing business requirements, process information, project data, user feedback and testing support as directed by management.
- Perform user acceptance testing (UAT), validate system functionality against business requirements, document issues and coordinate with the software developer to facilitate resolution.
- Perform any other PMO administrative, reporting, coordination or project support duties assigned by management.
Education
- Diploma or Bachelor's Degree in Project Management, Business Administration, Information Systems, Business Analytics, Data Analytics or a related discipline. Experience
- Minimum 1–3 years of experience in project administration, PMO support, project coordination, data administration, business analysis or a similar role.
- Experience in construction, engineering, telecommunications, IT infrastructure projects will be an added advantage.
- Experience supporting project management systems, ERP systems, reporting platforms or business applications will be an added advantage.
Skills & Competencies
- Strong organizational, administrative and document management skills.
- Strong analytical skills with the ability to organize, validate and interpret project data.
- Proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook.
- Familiarity with project management software, reporting tools, dashboards or business.
- Strong communication, coordination and stakeholder management skills.
- High attention to detail with excellent time management and problem-solving abilities.
- Ability to prioritize multiple tasks, work independently, and meet deadlines.

- Timely submission and accuracy of project reports, dashboards and management information.
- Accuracy, completeness, and proper maintenance of project documentation, registers and records.
- Compliance with PMO procedures, document control requirements and reporting standards.
- Timely completion of assigned administrative activities and follow-up of meeting action items.
- Accuracy and effectiveness in maintaining project dashboards, trackers and performance monitoring tools.
- Data quality and consistency maintained across PMO reporting systems and project databases
Pay: RM2,000.00 - RM2,800.00 per month
