OVERVIEW
The Finance Executive is responsible for supporting the Operations Manager and Finance MHM in managing, organizing, and ensuring the smooth running of financial operations within the company. Reporting directly to the Operations Manager, with a dotted line to Finance MHM, this role encompasses accounts management, reporting, compliance, and operational support. The Executive plays a key role in maintaining accurate financial records, preparing reports, monitoring cash flow, and ensuring compliance with statutory and company policies, while providing timely financial insights to management and Finance MHM.
The list of responsibilities outlined herein is non exhaustive and may be adjusted according to operational needs as directed by the Operations Manager or Finance MHM, provided that such directives do not cause harm to the Company, clients, stakeholders, employees, or the Executive themselves, and do not require inequitable or unreasonable specialist skills.
KEY RESPONSIBILITIES
A. General Finance Management
• Assist in managing Accounts Payable, Accounts Receivable, and departmental budgets.
• Prepare regular reports and summaries of accounting activities.
• Support preparation of financial statements and debtors’ listings.
• Verify recorded transactions and report irregularities to management.
• Assist in revenue reporting and ensure proper posting of payments.
• Review daily postings, payments, and balance reports.
• Ensure statutory details are correctly displayed on invoices and bills.
• Follow up on outstanding accounts and assist in monitoring A/R aging reports.
• Support supplier credit checks and flag accounts with long outstanding balances.
• Assist in processing invoices after verifying purchase orders and approvals.
• Support cash flow forecasting and monitoring to ensure operational continuity.
• Maintain files of contracts, insurance policies, tax reports, payroll, and other finance documents.
B. Reporting – Management and Finance MHM
• Assist in preparing financial reports and submissions to relevant government entities.
• Consolidate data for monthly management meetings and Finance MHM reporting.
• Support budget preparation and profit/loss tracking by business unit.
• Maintain systems of policies and procedures to ensure adequate financial control.
• Ensure monthly reimbursements and claims are processed on time.
C. Risk & Compliance
• Keep up to date with financial and legal developments and advise management on compliance risks.
• Ensure established controls and procedures are followed in all finance activities.
• Support monitoring of cash handling procedures across operations.
• Ensure compliance with taxation, audit, and statutory requirements.
D. Operational Support
• Collaborate with departments on operational planning, costing, and financial input for events and catering projects.
• Maintain updated files on finance policies, standards, and procedures.
• Support monitoring of departmental goals and achievement tracking.
• Ensure finance workstations are maintained in a safe, hygienic, and organized manner.
E. Customer & Client Relations
• Assist in resolving billing disputes and ensuring client satisfaction.
• Support finance input for food promotions, events, and menu costing in collaboration with F&B teams.
F. Human Resource & Staff Support
• Assist HR with payroll calculations, wage distribution, and finance related staff records.
• Support training initiatives for staff on finance procedures and reporting.
• Maintain confidentiality of personnel and payroll documents.
• Provide administrative support for performance appraisals and training records.
QUALIFICATIONS & EXPERIENCE
• Minimum qualification: Diploma or Degree in Accounting, Finance, or related field.
• Prior experience in finance or accounting within food & beverage, catering, or event operations is preferred.
• Knowledge of accounts management, budgeting, and financial reporting.
• Familiarity with taxation, compliance, and audit requirements.
• Ability to manage multiple tasks and support operational planning effectively.
