Administrative Support
Provide day-to-day administrative support to ensure efficient office operations.
Prepare, update, organize and maintain office documents, records, reports, forms and filing systems.
Handle incoming and outgoing correspondence, including emails, letters, courier packages and internal communications.
Assist in preparing meeting materials, presentation packs, reports, and supporting documents.
Ensure documents are properly filed, archived, retrieved and handled in accordance with confidentiality requirements.
Take initiative to improve office processes, filing systems, templates, checklists and administrative workflows.
Perform other related administrative duties and special assignments as directed by the GMD.
Communication & Liaison
Greet visitors, guests, suppliers and employees in a professional and courteous manner.
Answer, screen, and route incoming calls or enquiries to the appropriate person or department.
Provide accurate information and assistance to employees, visitors and external parties where appropriate.
Maintain GMD Office area, meeting rooms and shared office spaces in a neat, organized and presentable condition.
Office & Project Management
Support event planning and corporate functions involving the GMD and Management.
Book meeting rooms, prepare meeting facilities, arrange refreshments and ensure required equipment is available.
Assist with calendar management, meeting invitations, attendance tracking and follow-up reminders.
Support the preparation of agendas, minutes of meetings and meeting documentation.
Assist with travel arrangements, accommodation bookings, transport coordination and itinerary preparation when required.
Monitor office supplies, stationery, pantry items and equipment inventory of GMD Office to ensure adequate stock levels.
Liaise with internal team, suppliers, building management for the efficiency of office operations.
Prepare and maintain simple expense records, petty cash logs, claims documents and reimbursement forms for GMD Office.
Check supporting documents for completeness, accuracy and proper approvals before submission.
Coordinate with Finance and Administrative Department on payment matters, billing enquiries and document follow-ups.
Provide support on ad hoc assignments and perform other duties as directed by your superior when required

Requirements
Bachelor’s degree in business administration, Office Management, or a related field.
Minimum of 3 years' experience as a Personal Assistant (PA), Executive Assistant (EA), Cabin Crew or in a similar administrative support role.
Excellent organizational, time management, and multitasking skills, with strong attention to detail.
Strong written and verbal communication skills in a professional business environment.
High level of integrity, discretion, and professionalism when handling confidential information.
Proficient in Microsoft Office Suite and digital collaboration tools.
Ability to work effectively under pressure, manage multiple priorities, and adapt to changing business needs.
Self-motivated, resourceful, and capable of working independently with minimal supervision.
