Role Overview
This role owns end-to-end HR shared services delivery — recruitment support for direct labour, employee service centre operations, compliance, payroll, benefits, and HR data management — for a defined country/regional scope. Alongside operational delivery, the role owns a digitization mandate: identifying manual process pain points and driving automation/digitalization projects as project owner, partnering with IT and automation teams to scope and implement solutions. This is a project-management and process-diagnosis mandate, not a technical build role — deep AI/RPA engineering skills are not required. The ideal candidate is a natural problem solver and solution-driven, someone who instinctively spots workflow issues and inefficiencies and takes ownership of fixing them, including through digitalization and AI-enabled automation. In year one, the role is weighted toward operational mastery (approx. 80%) with protected time (approx. 20%) for process improvement and digitalization projects; this ratio is expected to shift as manual volume decreases.
Key Responsibilities
Operational delivery (core scope)
- Act as first point of contact for employee shared services and HR support
- Implement and maintain recruitment, selection, and hiring processes for direct labour
- Administer HR programs; serve as resource for employees and leaders
- Ensure compliance with labour laws, RBA standards, and company policy (Malaysia-specific requirements)
- Support onboarding, orientation, and training initiatives
- Manage HR data in the HCM system; process payroll, time & attendance, and benefits administration
- Support HR audits and reporting; prepare headcount, turnover, and recruitment reports
- Coordinate with recruitment agencies, contractors, and vendors on compliance requirements
- Support employee relations matters — grievances, disciplinary actions, counselling, conflict resolution
- Assist with employee engagement activities, welfare programs, and communication initiatives
- Maintain confidentiality and integrity of all HR, payroll, audit, and employee-related information
Digitization & automation ownership (differentiated scope)
- Map existing HRSS processes end-to-end to identify manual, repetitive, or error-prone steps suitable for automation
- Scope and drive automation/digitalization projects as project owner — partnering with IT, HRIS, automation teams, or external vendors to translate business pain points into requirements and solutions
- Evaluate proposed automation or AI solutions (e.g., Power Automate, RPA, Gen AI tools) for fit against the actual process problem, working with technical teams rather than building solo
- Partner with IT, HRIS, and Global HR CoE to pilot and scale automation use cases across HRSS
- Track and report time/cost savings and manual-process reduction achieved through digitalization initiatives
- Champion adoption of new tools and ways of working within the HRSS team; support change management and basic enablement
Requirements
- Bachelor's degree in HR, Business Administration, or related field
- 3–7 years in HR operations, generalist, or shared services roles
- Demonstrated experience identifying and driving process improvement or digitalization initiatives (Lean, Six Sigma, CI projects, or equivalent) — as project owner/driver, not necessarily as the technical builder
- Working understanding of automation/AI concepts (RPA, workflow tools, Gen AI use cases) sufficient to scope requirements and evaluate vendor/IT proposals
- Comfortable partnering with IT/automation teams to translate business pain points into project requirements
- Bias toward identifying inefficiency and questioning manual status quo, rather than simply executing existing process — a problem solver and solution-driven individual, proactive in identifying workflow issues and prioritizing routine, manual, repetitive tasks for improvement
- Proficiency in HRIS systems and Microsoft Office; exposure to Power Platform or similar tools a plus
- Strong communication, decision-making, and interpersonal skills
- Excellent attention to detail; able to manage confidential information
- Ability to multi-task and prioritize in a dynamic, regional environment
Success Indicators (First 6–12 Months)
- At least 2–3 HRSS workflows diagnosed and scoped for automation, with measurable reduction in manual processing time
- At least one digitalization/automation project driven end-to-end (scoping through implementation) in partnership with IT/vendors
- Improved employee query response time via process or tooling improvements
Pay: Up to RM8,000.00 per month

- HR operations, generalist, or shared services roles: 5 years (Preferred)
- automation/AI concept (RPA, workflow tool, Gen AI use case): 2 years (Preferred)
