Company Description The Centre for Professional Development and Continuing Education (PDCE) at Universiti Malaysia Perlis (UniMAP) is a dedicated responsibility centre focused on lifelong learning. PDCE offers multidisciplinary, industry-relevant programs designed to support professional growth and upskilling for diverse learners. The centre collaborates with academic and industry partners to ensure its offerings remain current, practical, and aligned with market needs. Role Description This is a full-time, on-site Administrative Assistant role based in Kuala Lumpur. The Administrative Assistant will manage daily office operations, including handling correspondence, preparing documents, and maintaining organized records and filing systems. The role involves answering and directing phone calls, greeting visitors, scheduling meetings, and coordinating calendars and basic logistics for PDCE activities. The Administrative Assistant will support executives and team members with clerical tasks, data entry, and basic reporting, while ensuring professional communication with learners, partners, and internal stakeholders. The individual is expected to work collaboratively, uphold confidentiality, and contribute to a smooth and efficient office environment.

Qualifications

  • Strong administrative assistance and executive administrative assistance skills to support daily operations and management tasks.
  • Solid clerical skills, including document preparation, filing, data entry, and record-keeping.
  • Professional phone etiquette and effective communication skills for interacting with learners, partners, and internal teams.
  • Ability to use office software and tools (e.g., word processing, spreadsheets, email, scheduling applications).
  • Good organizational skills, attention to detail, and the ability to manage multiple tasks and priorities.
  • Ability to work respectfully in a diverse environment and maintain confidentiality of sensitive information.
  • Prior experience in an administrative or office support role, preferably in an educational or training setting.
  • Diploma or bachelor’s degree in administration, business, or a related field is an advantage.
