Job Summary

The Soft Services Executive is responsible for managing the day-to-day soft facilities operations across the Agilent Technologies Singapore site, including offices, GMP and non-GMP production areas, laboratories, warehouses, cleanrooms, and common facilities. The role ensures a safe, clean, compliant, and efficient workplace by coordinating service vendors, conducting routine inspections, and maintaining high standards of housekeeping and workplace services while supporting operational excellence and customer satisfaction.

Key Responsibilities

  • Manage and supervise vendors for cleaning, pantry, pest control, landscaping, fish pond maintenance, waste management, office supplies, sanitary services, indoor plants, event management and other workplace services.
  • Conduct routine inspections of offices, production areas, laboratories, cleanrooms, warehouses, toilets, staircases, pantries, external areas, and all common areas to ensure housekeeping, GMP/non-GMP compliance, safety, and cleanliness standards are maintained.
  • Oversee cleaning quality, periodic deep cleaning, waste segregation, pest control activities, pantry operations, and workplace hygiene.
  • Monitor vendor performance, service quality, KPIs, and ensure compliance with site SOPs, EHS, GMP, ISO, and regulatory requirements.
  • Coordinate facility-related requests, office moves, workspace planning, workplace setup, and support day-to-day business operations.
  • Manage soft services budgets, monitor operational expenditures, verify vendor invoices, process monthly invoicing, track purchase orders, and ensure timely submission of financial documentation in accordance with company procedures.
  • Maintain inventory of pantry consumables, cleaning chemicals, janitorial equipment, office supplies, PPE, and other facility-related assets, ensuring adequate stock levels through timely procurement and replenishment.
  • Maintain inspection records, service reports, audit documentation, inventory records, and support internal, client, GMP, EHS, and ISO audits.
  • Liaise with clients, internal stakeholders, procurement, finance, and service providers to resolve facility issues promptly and maintain a high level of customer satisfaction.
  • Support emergency response activities, facility shutdowns, business continuity activities, sustainability initiatives, and continuous improvement programs.
  • Ensure timely reporting and follow-up of defects, corrective actions, work orders, and service requests through the CAFM/CMMS system.
  • Perform any other duties and responsibilities as assigned by the Facilities Manager or Management from time to time.
