Project Coordinator
Position Summary
The Project Coordinator will provide administrative, project coordination, and commercial support to the Malaysia business. The role will work closely with Project Managers, Directors, Quantity Surveyors, and Finance to ensure projects are properly set up, administered, monitored, invoiced, and closed out. The position will also provide executive support to the Regional Director on project and business-related matters.
This role is not a finance position but will work closely with Finance to support project controls, client invoicing processes, reporting, and document management.
Key Responsibilities
Project Administration
- Set up and maintain proposals and projects in internal systems.
- Maintain project registers, project directories, and project documentation.
- Track project milestones, deliverables, and submission schedules.
- Track project personnel assignments and update internal systems.
- Coordinate project meetings and prepare meeting minutes.
- Follow up with project teams on outstanding actions.
- Maintain project correspondence records.
- Ensure project documentation complies with company standards.
- Arrange team events and training logistics.
- Act as a central contact point for project administrative requests.
Commercial & Financial Support
- Prepare supporting documentation for review by project leads and for Finance to prepare draft invoices.
- Track client purchase orders, contracts, and variations.
- Maintain project financial trackers, including fee budgets and expenditure.
- Monitor invoice status and support collection follow-ups.
- Assist with monthly project reporting and forecasting.
- Coordinate subcontractor and consultant administration where required.
Director & Management Support
- Manage calendars, meeting schedules, and travel arrangements.
- Prepare presentation materials and reports for management meetings.
- Assist in pre-qualifications, proposal submissions, tenders, and capability documents.
- Coordinate client meetings and business development activities.
- Maintain action trackers for the Director and management team.
- Support growth and operational initiatives.
Document Control & Compliance
- Manage document filing and version control.
- Support contract and NDA administration.
- Maintain project records and audit trails.
- Monitor insurance, company registrations, and regulatory document renewals.
- Support ISO and quality management administration where applicable.
Key Deliverables
The successful candidate should be able to:
- Prepare client billing information accurately and on time.
- Maintain up-to-date project trackers.
- Produce reliable monthly project reports.
- Ensure project documentation is current and organized.
- Support directors in managing multiple client engagements.
- Reduce administrative workload on project managers and senior staff.
Qualifications
Education
- Bachelor's Degree (preferred) or Diploma in one of the following:
- Business Administration
- Engineering / Architecture
- Quantity Surveying
- Construction Management
- Related discipline
Experience
- 1–3 years of experience in:
- Project administration / coordination
- Commercial administration
- Construction consultancy
- Engineering consultancy
- Property development support roles
Fresh graduates with strong organizational skills may also be considered.
