Job Summary
The Admin is responsible for providing administrative and operational support to ensure the smooth running of the employment agency. The role includes managing documentation, coordinating with clients and government authorities, maintaining employee records, and assisting in the processing of foreign worker recruitment and immigration matters.
Key Responsibilities
- Handle daily administrative and clerical duties.
- Prepare and organize documents for foreign worker recruitment, work permits, visas, and immigration applications.
- Maintain accurate records of clients, candidates, employers, and employees.
- Liaise with government agencies such as the Immigration Department (JIM), Ministry of Human Resources (JTKSM), SOCSO, EPF, and other relevant authorities.
- Prepare quotations, invoices, official letters, agreements, and reports.
- Schedule appointments and coordinate meetings with clients and government departments.
- Respond to customer enquiries via phone, email, and WhatsApp professionally.
- Monitor application status and follow up with clients and authorities until completion.
- Manage filing systems, both physical and electronic, ensuring confidentiality of documents.
- Assist in payroll administration, attendance records, and HR documentation when required.
- Support recruitment activities, including arranging interviews and preparing employment documents.
- Perform any other administrative duties assigned by the management.
Requirements
- Minimum STPM, Diploma, or Bachelor's Degree in Business Administration, Human Resources, or a related field.
- At least 1 year of administrative experience (experience in an employment agency or immigration services is an advantage).
- Proficient in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Good communication skills in English and Bahasa Malaysia (additional languages are an advantage).
- Strong organizational skills and attention to detail.
- Able to multitask and work under pressure to meet deadlines.
- Positive attitude, responsible, and able to work independently as well as in a team.
- Knowledge of Malaysian labour laws, foreign worker management, or immigration procedures is an added advantage.

- Problem-solving and time management abilities.
- Ability to maintain confidentiality of sensitive information.
- Familiarity with online government systems (ESD, MYFutureJobs, JIM, etc.) is preferred.
Pay: From RM1,700.00 per month
