Reports To: Head of Department – Quality

Supervises: QA Personnel, QC Personnel, Document Control / Quality Support Personnel as assigned

1. Job Purpose

  • The Quality Supervisor is responsible for supervising, coordinating, and monitoring the daily activities of both Quality Assurance (QA) and Quality Control (QC) functions.
  • The position ensures that products, processes, quality documentation, inspections, and Quality Management System (QMS) activities comply with customer requirements, engineering drawings, specifications, applicable standards, company procedures, and regulatory requirements.
  • The Quality Supervisor acts as the main operational coordinator for the Quality Department and supports the Head of Department – Quality in managing departmental performance, manpower, customer quality requirements, audits, nonconformities, corrective actions, and continuous improvement activities.

2. Key Responsibilities

A. Quality Department Supervision

  • Supervise and coordinate daily activities of QA and QC personnel.
  • Plan and allocate QA and QC manpower according to workload, production priorities, customer requirements, and delivery schedules.
  • Conduct daily or periodic quality team meetings and communicate priorities.
  • Monitor completion of assigned QA and QC activities.
  • Ensure proper coordination between QA, QC, Production, Engineering, Planning, Purchasing, Warehouse, and other departments.
  • Escalate significant quality issues to the HOD Quality.
  • Ensure proper handover and communication of outstanding quality matters.
  • Monitor team discipline, performance, competency, and workload.
  • Provide technical guidance and support to QA and QC personnel.

B. Quality Assurance (QA)

  • Supervise QA activities related to QMS, customer requirements, quality documentation, audits, NCRs, corrective actions, and quality improvement.
  • Ensure customer quality requirements are properly reviewed, understood, communicated, and implemented.
  • Review applicable customer specifications, procedures, quality clauses, and special requirements.
  • Coordinate preparation and review of SMDL, ITP, quality plans, procedures, and other customer-required quality documentation.
  • Monitor customer document submission and outstanding documentation.
  • Ensure QA personnel maintain proper records and traceability.
  • Support implementation and maintenance of API Q1, ISO 9001, and other applicable management system requirements.
  • Monitor completion of quality objectives and departmental KPIs.

C. Quality Control (QC)

  • Supervise incoming, in-process, final, dimensional, visual, assembly, and other required inspections.
  • Ensure inspection activities comply with approved drawings, specifications, ITPs, procedures, work instructions, and customer requirements.
  • Coordinate inspection priorities according to production and delivery schedules.
  • Ensure QC Inspectors use appropriate and calibrated measuring equipment.
  • Review inspection results and reports where required.
  • Ensure nonconforming products are identified, segregated, and controlled.
  • Prevent unintended release or shipment of nonconforming products.
  • Coordinate CMM, dimensional, visual, NDE, assembly/testing, and other inspection activities as applicable.
  • Ensure inspection records are complete, accurate, and traceable.

D. Customer Quality Requirements

  • Review and coordinate implementation of customer-specific quality requirements.
  • Support customer inspection, source inspection, witness points, and hold points.
  • Coordinate quality matters raised by customers.
  • Support investigation of customer complaints and external NCRs.
  • Monitor customer NCR responses and corrective action closure.
  • Ensure required quality documentation is submitted according to customer requirements.
  • Escalate significant customer quality issues to HOD Quality.
  • Support customer meetings and quality discussions when required.

E. NCR, Corrective Action & Problem Solving

  • Ensure NCRs are raised for identified nonconformities.
  • Coordinate immediate containment actions.
  • Lead or support investigation of internal, supplier, and customer quality issues.
  • Facilitate Root Cause Analysis using appropriate problem-solving methods such as 5-Why, Fishbone, or other applicable tools.
  • Coordinate corrective and preventive actions with responsible departments.
  • Monitor NCR and corrective action closure.
  • Verify effectiveness of corrective actions.
  • Identify recurring defects and recommend improvement actions.
  • Support preparation of 8D reports when required by customers.

F. QMS & Compliance

  • Support HOD Quality in maintaining the effectiveness of the Quality Management System.
  • Ensure departmental activities comply with approved procedures and work instructions.
  • Monitor implementation of API Q1, ISO 9001, and applicable customer requirements.
  • Identify gaps in existing quality processes and recommend improvements.
  • Support development and revision of quality procedures, SOPs, work instructions, forms, and checklists.
  • Ensure controlled documents and current revisions are used.
  • Support risk assessment and quality planning activities.

G. Audit Management

  • Coordinate and support internal quality audits.
  • Support customer, certification, regulatory, and external audits.
  • Ensure requested records and objective evidence are available during audits.
  • Coordinate responses to audit findings.
  • Monitor corrective action implementation and closure.
  • Conduct or participate in process audits and production quality audits.
  • Report significant audit findings and risks to HOD Quality.

H. Measuring Equipment & Calibration

  • Ensure measuring and inspection equipment is properly controlled.
  • Monitor calibration status and calibration schedules.
  • Ensure expired or unsuitable measuring equipment is not used.
  • Ensure proper storage, handling, and maintenance of measuring equipment.
  • Coordinate calibration activities with responsible personnel and external calibration providers.
  • Support investigation when measuring equipment is found out of calibration.

I. Quality Documentation

  • Supervise preparation and review of inspection and quality records.
  • Ensure quality documentation is accurate, complete, and traceable.
  • Monitor customer document submission status.
  • Ensure latest drawing and specification revisions are available to relevant personnel.
  • Coordinate with Document Control on controlled documents and records.
  • Review quality reports before submission when required.
  • Ensure documentation issues are corrected before customer submission.

J. Supplier Quality

  • Support evaluation and monitoring of supplier quality performance.
  • Coordinate supplier NCRs and quality issues.
  • Follow up supplier corrective actions.
  • Participate in supplier audits when required.
  • Support supplier development and improvement activities.
  • Report significant supplier quality risks to HOD Quality and Purchasing.

K. Team Competency & Training

  • Identify QA and QC personnel competency requirements.
  • Identify competency gaps and recommend appropriate training.
  • Conduct or coordinate on-the-job training.
  • Evaluate personnel competency where assigned.
  • Ensure personnel performing inspection activities are appropriately trained and qualified.
  • Develop multi-skilled personnel and appropriate backup coverage for critical QA/QC activities.
  • Promote quality awareness and accountability throughout the team.

L. Quality Performance & Continuous Improvement

  • Monitor internal and external NCR trends.
  • Monitor defect, scrap, rework, and customer complaint trends.
  • Prepare or review Quality Department KPI and performance data.
  • Identify recurring quality issues and initiate improvement actions.
  • Support FMEA, risk assessment, and continuous improvement activities.
  • Recommend improvements to inspection methods, documentation, procedures, and quality controls.
  • Report Quality Department performance and significant issues to HOD Quality.

3. Authority

  • The Quality Supervisor is authorized to:
  • Coordinate and assign daily QA and QC activities.
  • Stop or hold production/product when a significant quality concern exists.
  • Place nonconforming products on Quality Hold.
  • Prevent release of products that have not met specified requirements.
  • Request re-inspection or additional verification.
  • Require correction of inaccurate or incomplete quality documentation.
  • Request corrective action from relevant departments.
  • Rearrange QA/QC manpower based on operational priorities.
  • Escalate major customer, product, supplier, or QMS issues directly to HOD Quality.

Final approval for major concessions, customer deviations, significant NCR disposition, major QMS changes, or other matters requiring management authorization remains with the HOD Quality or designated authorized personnel.

4. Qualification & Experience

Education:

  • Diploma or Degree in Mechanical Engineering, Manufacturing Engineering, Quality Engineering, Industrial Engineering, or equivalent.

Experience:

  • Minimum 5 years of Quality Assurance / Quality Control experience in machining, manufacturing, oil & gas, semiconductor, or related industries.
  • Supervisory or team leadership experience is preferred.

9. Overall Accountability

  • The Quality Supervisor is accountable for the effective day-to-day operation of both Quality Assurance and Quality Control activities.
  • The position shall ensure that customer requirements, QMS requirements, inspection activities, quality documentation, nonconformities, corrective actions, and quality performance are effectively controlled while providing timely escalation and support to the Head of Department – Quality.

Pay: RM4,000.00 - RM4,500.00 per month
