What this job involves:
You will lead the day-to-day operations of residential properties, overseeing staff and ensuring high-quality service delivery to clients and residents. This role involves comprehensive property management including staff supervision, financial oversight, vendor coordination, and regulatory compliance. You'll serve as the primary point of contact between the management team, property councils, and service providers while ensuring all contractual, legal, and operational requirements are met. Working closely with the director, you'll help shape departmental policies and maintain operational excellence across all managed sites.

What your day-to-day will look like:
Team Leadership & Operations
You'll guide and supervise your team, organizing daily resources and ensuring adequate staffing coverage through roster planning. You'll conduct performance appraisals, participate in annual salary reviews, lead regular team meetings, and support staff recruitment efforts to build a capable team.
Contract & Compliance Management
You'll monitor contracts, agreements, and insurance policies to ensure timely renewals (reviewing three months before expiry) and maintain compliance with property management legislation. You'll advise councils on regulatory requirements, prepare documents for submission to the Commissioner of Buildings following AGMs/EOGMs, and conduct quarterly audits of the Strata Roll and half-yearly audits of the assets register.
Financial Oversight
You'll prepare and propose annual maintenance budgets and sinking fund provisions for council approval. You'll review monthly financial statements against approved budgets, approve and authorize payments of outgoings including taxes, and coordinate annual audits of accounts. You'll establish procedures for purchasing, cash handling, and verification of financial transactions, while recommending actions against payment defaulters with legal assistance.
Meetings & Communication
You'll prepare AGM/EOGM documentation, follow up on matters arising from council and general meetings, and vet all outgoing correspondence and meeting minutes. You'll review incoming correspondence to ensure appropriate follow-up actions, particularly on complaints, and prepare management proposals for potential clients.
Service Provider & Vendor Management
You'll oversee relationships with key service providers including security services, insurance providers, telecommunications, photocopier services, NETS & LGA, SP Services, delivery services, and landscaping contractors. You'll prepare and submit Management Agent (MA) reports and manage feedback received through various channels including The M App.
Maintenance & Property Standards
You'll plan and recommend periodic maintenance works while reviewing all operational areas to identify cost-saving opportunities without compromising quality or effectiveness. You'll review and update House Rules and By-Laws, recommending changes for inclusion in AGMs when necessary, and establish procedures for imposing administrative fees for contraventions by contractors or residents.
Administrative & Special Projects
You'll prepare and approve work orders and purchase orders, liaise with solicitors on legal matters, advise councils on fund transfers when appropriate, and undertake other duties as assigned by management.

Required Qualifications
Degree in Estate Management, Real Estate, Building, Project Management, Facilities Management, Mass Communication, or Hospitality with 8–10 years of relevant experience managing similar-sized residential developments; OR
Diploma in Estate Management, Real Estate, Building, Project Management, Facilities Management, Mass Communication, or Hospitality with 10–12 years of relevant experience managing similar-sized residential developments
Certificate in Managing Agent Practice
Strong understanding of property management legislation and regulatory compliance requirements
Demonstrated experience in financial management including budgeting, financial reporting, and payment authorization
Proven ability to lead, supervise, and develop teams
Experience coordinating with service providers, vendors, and external stakeholders
Strong written and verbal communication skills for correspondence, reporting, and council interactions

Preferred Qualifications
Experience managing multiple residential property sites simultaneously
Familiarity with resident feedback management systems and digital communication platforms
Knowledge of contract negotiation and vendor management best practices
Experience preparing and presenting at Annual General Meetings (AGMs) and Extraordinary General Meetings (EOGMs)
Background in implementing operational efficiency improvements and cost-saving initiatives
Established relationships with solicitors and legal advisors in property management contexts
