Key Responsibilities
International Museum Day (IMD) is an event that recognises the important role that museums play in safeguarding heritage, strengthen communities, and achieve sustainable development goals. The role of the secretariat will be to:
• Support the team in the ICOM Singapore International Museum Day conference through the conceptualisation of the programme, schedule, special showcases, and other fringe programmes related to the event
• Engage a wide range of internal and external stakeholders to obtain buy-in and participation in the conference, as well as alignment on strategic objectives (public, private, community and diplomatic sectors)
• Liaise with attending ICOM International Committees for strategic and operational coordination, including the drafting of agreements and alignment with ICOM committees by-laws
• Plan hospitality programmes (flights, accommodation, ground transport)
• Perform secretariat duties for the conference, including liaison work, note taking, records management and other logistical support
• Support oversight of post-event administrative procedures, including feedback and report generation
Secretariat Duties
• Perform secretariat duties for the ICOM SG Workgroup for international conferences, which can include administrative functions (such as records keeping, meeting preparations, etc) to strategic and governance support (such as compliance with ICOM statutes and rules, and stakeholder management, etc.)
• Maintain the ICOM SG membership database and support the ICOM SG annual membership open call
• Design the ICOM SG revenue framework and advise the team on the effective utilisation of ICOM SG membership revenue
• Refine the ICOM SG membership tiers to provide more diverse membership applications
• Support ICOM SG in the transition to a digital membership card
• Support ICOM SG’s engagement efforts with local and international stakeholders
• Represent ICOM SG at ICOM related meetings, and prepare position papers and memos to support ICOM SG’s stand where required
• Partner with external and internal stakeholders on the conceptualisation of ICOM related conferences and outreach activities
Requirements:
• At least 3-5 years of work experience, preferably in international relations, and specific to working with International Organisations
• Keen interest in current and international affairs
• Enjoys engaging with a diverse range of local and international stakeholders
• Able to think, speak and write critically and strategically
• Creative, resourceful and able to multi-task
• Excellent team player and able to drive initiatives and projects involving stakeholders from multiple divisions or agencies
• Prepared to work off-hours when necessary and undertake overseas work trips
• Prior work experience involving the arts and culture sector, international relations and/or stakeholder engagement will be a strong asset
Salary: $5000 - 5500/Month
