Responsibilities
An Assistant Operations Manager for a Wellness Centre plays a crucial role in bridging the gap between strategic leadership and day-to-day service execution. They ensure that the facility runs smoothly, client experiences are seamless, and financial and performance goals are met.
Below is an overview of the core responsibilities, key qualifications, and strategic focus areas typically associated with this role:
1. Daily Centre Operations
Oversee day-to-day facility workflows, ensuring the wellness centre is operationally ready, clean, safe, and welcoming.
Manage client flow, appointment scheduling systems, and resource allocation (e.g., treatment rooms, equipment, and practitioner schedules).
Maintain and update Standard Operating Procedures (SOPs) to guarantee consistent service delivery and regulatory compliance.
2. Staff Leadership & Administration
Supervise front-of-house concierge, administrative, and support staff.
Handle staff scheduling, roster management, and coverage planning to ensure optimal staffing levels during peak hours.
Support recruitment, onboarding, training, and ongoing performance evaluations to foster a high-morale, service-oriented culture.
3. Client Experience & Relationship Management
Uphold high standards of customer service, serving as an escalation point for resolving client inquiries, feedback, or complaints promptly and professionally.
Oversee the onboarding and journey of members, VIPs, or high-net-worth clients to ensure personalized care and long-term retention.
4. Business Growth, Sales & Inventory
Drive retail and membership sales initiatives to hit revenue targets.
Manage inventory levels for wellness products, retail items, and back-edge supplies, anticipating seasonal demands and coordinating product launches or promotional events.
Track operational metrics, KPIs, and generate reports to assist upper management in financial performance analysis.
5. Compliance & Safety
Ensure strict adherence to health, safety, sanitation, and licensing regulations relevant to wellness, spa, or clinical facilities.
Coordinate maintenance contractors for facility upkeep, equipment servicing, and preventative repairs.
Experience: Typically 3 to 5 years of experience in hospitality, retail management, healthcare administration, or a luxury wellness/spa environment, with at least 1–2 years in a supervisory or assistant management capacity.
Education: Diploma or Bachelor’s Degree in Business Administration, Hospitality Management, Healthcare Management, or a related field.
Soft Skills: Exceptional communication, conflict-resolution, and leadership capabilities; highly organized with a keen eye for detail.
Industry Passion: A strong alignment with holistic health, self-care, and customer-first service values.
Technical Literacy: Proficiency in booking software (PMS/POS systems) and general office management tools.
