Responsibilities

Cafe Manager Overview:

The Cafe Manager is responsible for overseeing the daily operations of the café, ensuring exceptional customer service, maximizing profitability, and maintaining a positive work environment. This role acts as the bridge between upper management, the kitchen/barista team, and the customers.

1. Operational Management · Opening & Closing: Ensure the café is opened and closed securely according to standard operating procedures (cash handling, locking up, and alarm setting).

· Shift Management: Oversee daily floor operations, delegating tasks to baristas and kitchen staff to ensure smooth workflow during peak hours.

· Inventory Control: Monitor stock levels of coffee, food, dairy, and dry goods; place orders with suppliers to prevent shortages or overstocking.

· Equipment Maintenance: Ensure all equipment (espresso machines, grinders, ovens, refrigerators) are properly maintained, cleaned, and serviced; coordinate repairs immediately if breakdowns occur.

· Health & Safety: Enforce strict adherence to food safety regulations (HACCP/ServSafe), hygiene standards, and workplace safety protocols. ---

2. Financial & Administrative Duties · Budget Management:

Achieve financial targets by controlling costs (labor, food waste, and supplies) and maximizing sales.

· Cash Handling: Manage the Point of Sale (POS) system, reconcile daily cash drawers, prepare bank deposits, and track petty cash.

· Sales Analysis: Review daily and weekly sales reports to identify trends, best-selling items, and areas for improvement.

· Payroll: Track staff attendance and working hours to submit accurate payroll data to the accounting department.

· Cost Control: Minimize wastage by implementing proper portion control and inventory rotation (FIFO - First In, First Out).

3. Staff Management & Leadership · Recruitment & Onboarding: Assist in hiring new baristas and kitchen staff; conduct interviews and facilitate orientation for new hires.

· Training & Development: Train new employees on café recipes, brewing techniques, customer service standards, and POS systems; conduct ongoing cross-training to improve team versatility.

· Scheduling: Create weekly staff rotas that align with business demands while respecting employees’ availability and overtime budgets.

· Performance Management: Provide constructive feedback, conduct performance reviews, address employee grievances, and enforce disciplinary actions when necessary.

· Team Motivation: Foster a positive, inclusive, and high-energy work culture; lead by example and hold regular team meetings.

4. Customer Service & Guest Experience

· Customer Relations: Greet regular customers, build community relationships, and resolve customer complaints professionally and promptly to ensure 100% satisfaction.

· Quality Assurance: Continuously taste and inspect food and beverage quality to ensure consistency in flavor, presentation, and temperature.

· Feedback Collection: Actively solicit customer feedback (online reviews, comment cards) and use it to improve menu items and service.

· Ambiance Management: Ensure the café is always clean, well-lit, and inviting; manage the music, seating arrangement, and overall vibe.

5. Marketing & Business Development

· Promotions: Plan and execute in-store promotions, loyalty programs, and seasonal menu changes to attract new customers and retain existing ones.

· Visual Merchandising: Manage the display of pastries, retail coffee beans, and merchandise to encourage impulse buying.

· Social Media: Collaborate with the marketing team to create content for social media (Instagram, Facebook) showcasing daily specials and behind-the-scenes moments.

· Community Events: Coordinate with local businesses or artists for pop-up events, open mic nights, or art displays to drive foot traffic.

**Key Skills & Qualifications Required:

· Experience: Minimum 2–3 years of experience in the Food & Beverage industry, with at least 1 year in a supervisory role.

· Certifications: Certified in Food Handler/Food Safety Management (e.g., ServSafe).

· Technical Skills: Proficiency with POS systems, Excel/Google Sheets, and basic accounting principles.

· Soft Skills: Exceptional communication, problem-solving agility, high emotional intelligence, and the ability to work under high-pressure, fast-paced conditions.

· Physical Stamina: Ability to stand for long hours and lift heavy items (up to 25kg/50lbs).

Performance Indicators (KPIs) for a Cafe Manager: · Year-over-year sales growth. · Customer satisfaction scores (Online ratings). · Employee retention rate and team morale. · Inventory shrinkage percentage (waste). · Average ticket value (upselling success).

Pay: RM2,500.00 - RM3,000.00 per month
