Job Summary

The Control Centre Representative serves as the main point of contact for patient enquiries across Klinik Dr. Prevents. The role involves managing WhatsApp messages and telephone calls, coordinating appointments, monitoring laboratory results, maintaining accurate enquiry records, and escalating urgent or sensitive matters appropriately.

Key Responsibilities

• Manage incoming WhatsApp enquiries and telephone calls professionally.
• Provide clear and accurate information based on approved SOPs.
• Coordinate and schedule patient appointments at the appropriate clinic.
• Track laboratory and investigation results and notify patients when results are ready.
• Escalate urgent, abnormal, clinical, or sensitive matters promptly.
• Tag enquiries correctly and maintain complete and accurate records.
• Maintain patient confidentiality and comply with data-protection requirements.
• Identify recurring operational issues and report them to management.

Requirements

• Diploma or Certificate in any discipline; a relevant qualification is preferred.
• Minimum 2–3 years of clinic operations or supervisory experience.
• Experience in a call centre, customer service, or healthcare administration is preferred.
• Able to manage a high volume of calls and enquiries.
• Good written and verbal communication skills.
• Strong attention to detail, organisation, and time management.
• Comfortable using systems such as WhatsApp Web, scheduling platforms, and clinic management systems.
• Calm, professional, patient-focused, and able to follow SOPs.
