Position: Management Operation Assistant
Location: Trigo Hotel, Kuala Lumpur

The Management Operation Assistant is responsible for providing administrative and operational support to the management office to ensure the smooth execution of financial, billing and reporting processes across all managed short-term rental properties.

The role focuses on maintaining accurate records, coordinating documentation, monitoring tenancy-related payments and supporting operational efficiency through effective data management.

Key Responsibilities:

• Prepare, verify, and process customer invoices, tenancy bills, utility charges and other operational billings. Monitor payment status, follow up on outstanding balances and maintain accurate payment records.
• Update and track tenancy-related expenses, including rental, utilities, maintenance charges, sinking funds, assessment fees and other recurring operational costs.
• Reconcile invoices and payment records with Finance and Operations departments to ensure accuracy.
• Assist in monitoring contract expiry dates, tenancy agreements and scheduled payments to avoid service disruptions or late payment penalties.
• Assist in preparing documentation required for audits, management meetings and financial reviews.
• Provide administrative support for new property onboarding, operational setup, and other special projects as assigned by management.
• Carry out any other duties assigned by Management to support the overall operations of the company.

Key Skills & Competencies:

• Strong administrative and organizational skills.
• Proficient in Microsoft Excel, Word and reporting system.
• Good analytical and record-keeping abilities.
• Ability to manage multiple tasks and meet deadlines.
• Experience in the hospitality, property management or Airbnb/short-term rental industry is preferred.
