Role Description The Administrative Assistant is a full-time, on-site role based in Puchong. This role involves providing daily administrative and clerical support, including preparing documents, maintaining records, and managing filing systems to ensure smooth office operations. The Administrative Assistant will handle phone calls, emails, and visitor inquiries, schedule meetings and appointments, and support executives with calendar coordination and travel arrangements. The role also includes assisting with data entry, basic reporting, office supply management, and coordination with internal teams and external stakeholders. The successful candidate will contribute to an organized, efficient, and professional office environment that supports Etara’s operational and customer service goals.

Qualifications

• Strong Administrative Assistance and Clerical Skills to manage documentation, records, filing, and general office tasks.
• Professional Phone Etiquette and Communication skills for handling calls, emails, and in-person inquiries effectively.
• Experience in Executive Administrative Assistance, including calendar management, meeting coordination, and support for senior team members.
• Proficiency with office software (e.g., word processing, spreadsheets, email and calendaring tools) and basic data entry skills.
• Organized, detail-oriented, and able to prioritize multiple tasks in a fast-paced environment.
• Ability to work collaboratively with diverse teams and maintain a courteous, service-oriented approach.
• Previous experience in an administrative or office support role; experience in industrial or technical services environments is an advantage.
• Relevant education such as a diploma or certificate in Business Administration, Office Management, or a related field is preferred.
