We are searching for a highly organized and detail-oriented Event Coordinator / Crew to manage the end-to-end planning and execution of our events. You will be the logistical engine behind our company events and any promotional activities.

Key Responsibilities

Planning & Logistics

• Coordinate all logistical aspects of events, including venue selection, catering, audio/visual equipment, transportation, and accommodations.
• Develop comprehensive project timelines, run-of-show documents, and contingency plans.
• Manage event registration processes (attendee tracking, check-in, badge printing).
• Source, negotiate, and manage relationships with external vendors, contractors, and sponsors.
• Assist in preparing event budgets and track expenditures to ensure events stay within financial limits.
• Process invoices, purchase orders, and reconcile post-event expenses.
• Maintain an inventory of event supplies (swag, signage, collateral).
• Serve as the primary on-site point of contact during events, troubleshooting issues in real-time.
• Manage event staff, volunteers, and temporary crew; assign duties and conduct briefings.

Communication & Marketing Support

• Collaborate with the marketing team to promote events via email, social media, and internal channels.
• Prepare briefing materials, speaker kits, and run sheets for internal stakeholders.
• Send pre-event communications and surveys to attendees.
