Job Summary :
To provide end-to-end administrative and operational support to the Operations team — coordinating outlet requests, procurement and repairs, maintaining warehouse inventory and the ops workspace, monitoring licence and compliance documentation, and preparing routine operational data and reports — so that outlet needs are met accurately and on time, the business stays fully compliant, and management is freed to focus on growth and long-term priorities.
Key Responsibilities :
- Operational support: Assist HQ Ops team with outlet requests, purchases, repairs, SOP printing/distribution, and ensure all tasks are tracked and completed on time.
- Licence & compliance monitoring: Track expiry of licences (business, typhoid, FoSIM, fire safety), renew them ahead of deadlines, and maintain compliance documentation.
- Inventory & asset management: Keep warehouse records updated, track equipment by outlet, process replacement requests, and prepare inventory summaries for management.
- Documentation & filing: File compliance documents, process outlet claims within cycle cut-offs, and maintain audit-ready records.
- Data & reporting: Compile operational data, prepare summaries and trends, deliver routine/ad-hoc reports, and present them in a clear format for management review.
- General tasks: Handle ad-hoc operational and administrative duties as directed by HQ Ops Manager.
Essential Requirements :
- Education: SPM / Diploma or equivalent.
- Experience: 1–2 years in administration, operations support, or clerical work.
- Organisational skills: Strong attention to detail, able to manage multiple small tasks reliably.
- Technical proficiency: MS Office / Google Workspace (Excel/Sheets, Word/Docs, email).
- Communication: Good in Bahasa Malaysia and English, for liaising with outlets, vendors, and internal teams.
- Work ethic: Reliable, proactive, deadline-driven.
Preferred Requirements :
- Industry experience: Prior exposure to F&B, restaurant, or retail-chain operations.
- Compliance knowledge: Familiarity with licensing and food-safety compliance (business licence, typhoid, fire safety, FoSIM).
- Procurement coordination: Experience handling vendors, purchases, and repairs.
- Data analysis: Comfortable with spreadsheets, pivot tables, summaries, and charts.
- Mobility: Own transport and willingness to travel occasionally to outlets.
Pay: RM2,200.00 - RM3,000.00 per month
