Responsibilities of your role
Based in Malaysia, as the HR Coordinator, you will be responsible for:
- Coordinating end-to-end recruitment, onboarding and off-boarding activities to deliver a positive employee experience.
- Administering HR operations across the employee lifecycle, including contracts, employee records, probation, leave, performance reviews and employment changes.
- Coordinating monthly payroll, employee benefits and statutory obligations in partnership with the Employer of Record (EOR) and payroll providers.
- Maintaining accurate HR records, systems and documentation, ensuring compliance with organisational policies and Malaysian employment legislation.
- Providing timely, accurate and customer-focused HR advice and administrative support to employees and managers.
- Preparing HR reports, workforce metrics and documentation to support decision-making, compliance and workforce planning.
- Supporting employee engagement, learning and development, and wellbeing initiatives across MSF APAC and the Malaysia Branch.
- Building effective working relationships with internal stakeholders, external providers and government agencies to ensure high-quality HR service delivery.
- Identifying opportunities to improve HR processes, systems and ways of working to enhance operational efficiency and employee experience.
- Undertaking other duties consistent with the responsibilities and level of the position, as reasonably required
Accountabilities will include:
- Coordinating recruitment, onboarding and offboarding activities across the employee lifecycle.

- Supporting the annual performance management process, including coordination, reporting and record keeping.
- Providing first-level HR advice and administrative support to employees and managers.
- Ensuring compliance with Malaysian employment legislation, organisational policies and HR procedures.
- Preparing HR reports, workforce metrics and workforce data to support planning, decision-making and compliance.
- Supporting employee engagement, wellbeing and learning initiatives across MSF APAC and the Malaysia Branch.
- Building effective relationships with managers, employees, the Employer of Record, payroll providers and external stakeholders to deliver responsive HR services.
- Identifying opportunities to improve HR processes, systems and service delivery to enhance operational efficiency and the employee experience.
- Undertaking other duties consistent with the responsibilities and level of the position, as reasonably required

- Exceptional organisational skills, with the ability to manage competing priorities, work independently and consistently meet deadlines.
- Strong attention to detail and accuracy when managing employee records, payroll information and HR documentation.
- Excellent interpersonal and communication skills, with the ability to build trusted relationships with employees, managers, external providers and stakeholders across different cultures and locations.
- A proactive, solutions-focused approach, with the confidence to identify issues, recommend improvements and contribute to continuous enhancement of HR processes and systems.
- High levels of integrity, discretion and professionalism when handling confidential and sensitive employee information.
- Strong digital literacy and confidence using HR information systems, Microsoft Office and reporting tools.
