About the role

Cargohub Groupage Services Pte Ltd is seeking an Operations Admin to join and support our team in the Central Region on a full-timebasis. This is a key position that plays a vital role in maintaining operations flow and you will be the support for our Customer Service team. Potential fast learner may have the opportunity to convert to Customer Service Officer.

Key Responsibilities

• Prepare, process, and maintain documentation, including invoices, reports, correspondence, and operational records with a high level of accuracy.
• Verify vendor and supplier invoices, ensuring accuracy before processing, and assist with customer billing and payment administration.
• Perform accurate data entry, maintain databases, and generate reports to support business operations and decision-making.
• Provide general administrative assistance, including filing, document management, correspondence, and other ad hoc support tasks as assigned.
• Coordinate with internal departments to ensure smooth day-to-day operations.
• Monitor the status of ongoing tasks and transactions and following up on outstanding matters.
• Maintain accurate records of interactions, transactions, and administrative documentation within company systems.
• Prepare and submit TradeNet declarations and relevant permits to shipping lines and authorities to facilitate customs clearance and regulatory compliance
• Process Dangerous Goods (DG) applications in accordance with regulatory requirements
• Ensure compliance with company policies, administrative procedures, and relevant regulatory or documentation requirements.
• Collaborate with cross-functional teams, including operations, finance, and management, to support organizational objectives and improve workflow efficiency.
• Assist in coordinating projects, tracking action items, and ensuring administrative deadlines are met.
• Support continuous process improvement initiatives by identifying opportunities to enhance administrative efficiency and record management.
