Job Summary

[Contract role until end of November 2026] Provide administrative support for Tender and Regulatory functions by coordinating tender documentation, managing submission timelines, maintaining accurate records, and supporting timely, compliant tender submissions.

Responsibilities

• Coordinate the collection, compilation, and formatting of tender documents to support timely submissions
• Manage and maintain tender schedules and monitor submission deadlines to ensure on-time completion
• Liaise with internal departments to obtain required documents and information for tender submissions
• Maintain accurate records of tender submissions, contracts, and supporting documentation for audit and reference
• Organise and maintain document control and filing systems for tender and regulatory documents to ensure easy retrieval
• Prepare reports, correspondence, and other administrative documents to support tender and regulatory teams
• Monitor the status of submitted tenders and maintain tracking logs to provide updates and follow-ups
• Support the Regulatory Team with general administrative duties as needed to ensure smooth operations
• Perform other administrative tasks as assigned to meet team and company objectives

Required competencies and certifications

• Experience in tender administration, contract administration, or a similar administrative role
• Ability to manage multiple deadlines and work effectively under pressure in a fast-paced environment
• Strong organisational skills with excellent attention to detail and accuracy in document handling
• Proficiency in Microsoft Office applications, especially Excel, Word, Outlook, and PowerPoint
• Excellent communication and interpersonal skills to collaborate with cross-functional teams
• Ability to work independently while maintaining effective teamwork

• Experience in healthcare, medical devices, pharmaceuticals, or regulated industries
