JOB DESCRIPTION

The HR Operation Executive is responsible for managing end-to-end HR operations across multiple client organisations as the Person-in-Charge (PIC) for a portfolio of approximately 150 to 250 employees. The role covers employee lifecycle management, including onboarding and offboarding, payroll input, HR documentation, leave and attendance, disciplinary coordination, appraisal processes, and employee records, ensuring all deliverables are completed accurately, within SLA timelines, and in compliance with SOPs, client requirements, and statutory regulations. The role also serves as the main liaison between clients, employees, payroll, and internal teams, while ensuring compliance with management directives, handling ad hoc tasks, and continuously improving processes through client feedback and workflow optimisation.

Key Responsibilities:

1. HR Operations Governance, Client Portfolio Ownership & PIC Accountability

  • Be assigned as the Person-in-Charge (PIC) for multiple client companies, with a combined workforce population ranging between 150 to 250 employees across the assigned portfolio.
  • Serve as the primary HR operations liaison for all assigned client organisations, ensuring seamless coordination between client PICs, employees, payroll stakeholders, and internal HR advisory teams.
  • Take full ownership of all employee lifecycle and HR operational matters for the assigned companies, including but not limited to:
  • Onboarding and offboarding coordination
  • Payroll input accuracy and deadline management
  • Leave, attendance, overtime, and claims administration
  • Issuance of HR letters and contractual documentation
  • Disciplinary and tatatertib case coordination
  • Appraisal cycle administration and talent movement processes
  • Employee records maintenance and statutory compliance documentation
  • Monitor overall workforce movements, manpower changes, and documentation pipelines across all assigned companies to ensure all HR deliverables are completed accurately, timely, and in accordance with client expectations and statutory requirements.
  • Build strong working relationships with management representatives and PICs of assigned companies to ensure responsive advisory support, issue escalation, and proactive risk management on people matters.

2. Governance Compliance, Reporting Line Accountability

  • Ensure full compliance with instructions, directives, and task assignments issued by the Reporting Officer, Management, and any other duly authorised personnel empowered to provide operational or strategic direction.
  • Undertake ad hoc duties, special assignments, and cross-functional tasks as may be required from time to time by the Reporting Officer, Management, or other authorised parties, in support of business continuity, client service delivery, and organisational priorities.

3. Continuous Improvement & Feedback Analysis

  • Gather and analyze client feedback to identify areas for process improvement.
  • Implement changes to improve processes and client satisfaction while collaborating with internal teams to streamline and enhance operation workflows.

Requirements

  • Bachelor’s degree in Business in Operation Management, Human Resource Management, Business Administration, Engineering or a related field.
  • Minimum of 2 years of experience in HR operations or a similar role, preferably in a multi-client environment.
  • Strong knowledge of Malaysian employment laws and statutory requirements (EPF, SOCSO, EIS, PCB).
  • Excellent communication and interpersonal skills, with the ability to build relationships with diverse stakeholders.
  • Proficient in HRIS and MS Office applications, with strong analytical and problem-solving abilities.
  • Detail-oriented with a commitment to delivering high-quality work within tight deadlines.

Pay: RM2,500.00 - RM2,800.00 per month
