Position: Receptionist
Location: Labuan, Malaysia
We are seeking a professional, friendly, and well-organized Receptionist to join our dynamic team. The successful candidate will serve as the first point of contact for the Group, representing the company professionally while providing front office, communication, and general administrative support to ensure the smooth day-to-day operation of the office.
The Receptionist is responsible for managing the front office and providing a professional and welcoming experience to visitors, clients, business partners, suppliers, and other stakeholders. The role also provides general administrative and coordination support to Management and the office team, while maintaining a professional, organized, and efficient workplace environment.
Key Responsibilities
- Serve as the first point of contact by welcoming and assisting visitors, clients, suppliers, business partners, and other guests in a friendly and professional manner. Manage visitor registration and ensure appropriate office access procedures are followed.
- Manage incoming telephone calls by answering, screening, and directing calls to the appropriate personnel or department. Handle general enquiries professionally and provide accurate information where appropriate.
- Monitor general emails and manage incoming and outgoing correspondence, mail, courier items, and office deliveries. Ensure enquiries, messages, documents, and packages are received, recorded, sorted, and distributed to the relevant personnel in a timely manner.
- Coordinate meeting room bookings, appointments, and meeting arrangements for visitors, clients, Management, and internal teams, and provide assistance during meetings where required.
- Maintain a clean, organized, and professional reception area while providing general administrative support, including filing, photocopying, scanning, data entry, document preparation, office supplies, and general office requirements.
- Facilitate effective communication between Management, employees, departments, clients, business partners, and other external parties to ensure information is shared accurately and efficiently.
- Maintain confidentiality of company information, documents, and Management matters at all times, while demonstrating professionalism, proper workplace etiquette, and a positive corporate image.
- Support company meetings, events, and activities, including activities involving other KJ Group entities where required, and perform other related administrative or coordination duties as assigned by Management.
Requirements
- Minimum Diploma qualification in Business Administration, Hospitality, Management, or a related field.
- Previous experience in reception, front office, administration, customer service, or a similar role will be an added advantage. Fresh graduates with the right attitude and willingness to learn are encouraged to apply.
- Ability to communicate in Korean is highly preferred, with good command of English, both written and spoken. Additional language skills will be an advantage.
- Pleasant personality, professional appearance, positive attitude, and strong customer service and interpersonal skills, with the ability to interact confidently with people at different levels.
- Strong organizational and multitasking skills, with the ability to manage appointments, enquiries, administrative tasks, and competing priorities effectively.
- Responsible, punctual, attentive to detail, and able to work professionally in a fast-paced and multicultural environment.
- Proficient in Microsoft Office applications, email, and basic office systems, with good general administrative skills.
- Able to maintain confidentiality and professionalism when handling company and Management information, and able to work independently as well as effectively as part of a team.
