Role Overview
We are seeking a commercially minded and hands-on Finance & Administration (Assistant) Manager to strengthen our regional Finance function and oversee the day-to-day Finance and Administration activities of our cross-border offices.
This is a cross-border role supporting our Singapore, Malaysia and Thailand operations. You will work closely with the Senior Assistant Accountant and management to ensure accurate reporting, strong financial controls and sufficient coverage across the Finance & Admin functions.
This is not a role for someone who only prepares accounts and reports historical numbers. You will be expected to understand what is driving the results, identify risks and discrepancies, improve processes and provide management with information that supports better decisions.
You will also help consolidate administrative responsibilities that can be managed efficiently from Penang, establish clearer ownership and build more reliable systems across the Group.

Finance & Accounting
- Manage day-to-day accounting activities across our Singapore, Malaysia and Thailand operations
- Support timely month-end closing and preparation of accurate management accounts
- Review accounting entries, reconciliations and supporting documents for accuracy and completeness
- Manage accounts payable and accounts receivable activities, including payment and collection follow-ups
- Prepare and review bank reconciliations and other balance-sheet reconciliations
- Monitor cash flow and support payment planning across the Group
- Maintain complete and well-organised accounting records and supporting documentation
- Manage intercompany transactions, balances and reconciliations
- Coordinate with auditors, tax agents, company secretaries and other external Finance service providers
- Support statutory, tax, audit and regulatory submissions across the relevant entities
- Support government grant submission documents
- Maintain Finance schedules, trackers and reporting documentation
- Provide Finance coverage when other team members are on leave or unavailable
- Build sufficient knowledge across the Finance function to reduce dependency on any one team member
- Ensure Finance deliverables are completed on time, proactively raising issues where deadlines or reporting accuracy may be at risk
Management & Commercial Finance
- Support management with budgets, forecasts and cash-flow planning
- Analyse actual performance against budgets, prior periods and business expectations
- Investigate unusual movements, risks and discrepancies rather than simply reporting the numbers
- Translate financial results into clear and commercially useful insights for management
- Support product, customer, channel and project profitability analysis
- Assist with pricing, margin, costing and scenario analysis
- Monitor expenditure and identify opportunities to strengthen cost control
- Develop a practical understanding of the operational and commercial drivers behind the Group’s financial results
- Improve the quality, clarity and usefulness of management reporting
- Surface financial risks and implications early enough for management to act
Finance Team & Controls
- Work closely with the Senior Assistant Accountant to ensure reliable Finance coverage and continuity
- Provide guidance, review and a second point of reference on accounting matters
- Review Finance work where appropriate and maintain adequate checks and controls
- Ensure recurring Finance processes have clear ownership, deadlines and backup arrangements
- Document key Finance processes and maintain practical SOPs and handover procedures
- Identify and implement improvements to Finance processes, controls and reporting
- Support the development of more efficient and scalable Finance systems as the business grows
- Proactively follow up on dependencies and escalate issues before they affect deadlines or reporting
- Help build a Finance function that is accurate, responsive and commercially relevant
Administration
- Register new products and trademarks in different countries
- Carry out cross-border administrative responsibilities
- Take ownership of appropriate administrative activities currently distributed across different team members
- Maintain company records, documentation and administrative trackers
- Coordinate with colleagues in Singapore and Thailand on matters that do not require physical presence in those markets
- Support vendor documentation, quotations, renewals and routine administrative follow-ups
- Support payroll administration, employee documentation and other HR administration where required
- Establish clear ownership, SOPs and backup arrangements for recurring administrative processes
- Identify opportunities to simplify workflows and reduce unnecessary administrative burden
- Ensure administrative matters are followed through reliably rather than left pending between teams
Cross-Functional Support
- Work closely with Finance, Operations, Production and Commercial teams across the SG, MY and TH offices
- Take ownership of issues through to resolution rather than limiting involvement to a narrow job scope
- Proactively identify financial, administrative and operational risks and escalate them early
- Support cross-functional coordination where Finance inputs or approvals affect business execution
- Step in where required to keep reporting, payments, audits and business projects moving
- Support ad-hoc Finance, Administration and other business projects as the company grows
Who We Are Looking For
- Diploma or Degree in Accounting, Finance or an equivalent discipline
- Approximately five or more years of relevant Finance or accounting experience
- Hands-on experience with full-set accounts, month-end closing and balance-sheet reconciliations
- Strong understanding of accounting fundamentals and financial controls
- Experience working across multiple entities, business units or countries is advantageous
- Previous experience reviewing, guiding or supervising junior Finance team members is advantageous
- Able to analyse numbers and explain their business implications rather than only preparing reports
- Strong Excel skills and comfortable learning accounting and ERP systems
- Experience with AutoCount is advantageous
- Comfortable managing Finance deadlines alongside administrative responsibilities
- Good written and spoken English
- Experience in FMCG, health and wellness, supplements, manufacturing or a regional SME environment is advantageous
This is a hit-the-ground-running role. Candidates must have practical accounting experience and be comfortable managing day-to-day Finance responsibilities directly.
