Job Summary
We are looking for two (2) HR Executive (Operations) to join us. Your task are mainly to manage day-to-day HR operations while ensuring compliance with university policies and procedures. Reporting to the HR Manager dotted line to General Manager, HR.
Responsibilities
1. Employee Onboarding & Offboarding
- New employee onboarding
- Orientation/induction
- Probation confirmation
- Transfers and internal movements
- Resignations and termination
- Exit interviews
- Clearance and final documentation
2. Employee Records & HR Administration
- Maintaining employee personal files
- HRIS/database management
- Employment records
- Staff letters and certificates
- Updating employee information
- HR documentation and filing
- Staff confirmation and contract renewals
3. Contract Renewal (Academic Staff)
- Coordinate contract renewal processes for academic staff
- Ensure timely reminders, documentations and approvals are completed in line with university policy.
4. Employee Benefits & Welfare
- Medical benefits
- Insurance
- Staff claims
- Company benefits administration
5. Performance Appraisal Management
- Administer the annual performance appraisal exercise for academic and non-academic staff
- Provide guidance to HODs/Deans on appraisal processes and ensure timely completion
- Support in compiling appraisal outcomes for management for management review and career development planning
6. Employee Relations
- Handling employee grievances
- Disciplinary matters
- Counselling/employee advisory
- Workplace conflicts
- Show-cause letters
- Warning/disciplinary letters
- Domestic inquiry coordination
- Employee engagement issues
7. HR Policies & Compliance
- Implementing HR policies
- Updating SOPs and HR procedures
- Employment Act compliance
- Labour law compliance
- Statutory requirements
- HR audits
- Maintaining proper employment documentation
- Supporting industrial relations matters
8. HR Reporting & Analytics
- Headcount reports
- Turnover reports
- Absenteeism reports
- HR metrics and monthly management reports
9. Employee Engagement & Culture
- Employee surveys
- Welfare initiatives
- Internal communication
10. Industrial Relations/Labour Relations (added advantage)
- Labour Department matters
- JTK-related matters
- Industrial Court matters
- Union-related matters, where applicable
- Domestic inquiry
- Termination/retrenchment processes
- Employment dispute management
11. HR Systems & Process Improvement
- Digitalisation of HR processes
- Automation of HR workflows
- Process improvement
- HR forms and workflow design
- HR data integrity
Requirements
- Bachelor Degree/Master in Human Resource Management
- Comes with at least 1-3 years of solid HR Operation experience.
Pay: RM2,400.00 - RM3,500.00 per month
