PtP process scope

• Prepare and analyze PTP Ageing-related reports for submission to the Business Partners.
  • Perform analysis, reporting of GRIR and executing the GRIR clearing.
  • Perform checking on the AP sub-ledger accounts and follow up on the age items for clearing.
  • Follow up on the GRIR open items and perform the clearing.
  • Perform SOA reconciliation and follow up with vendor for invoice submission.
  • Ensuring of execution of tasks in line with the internal control framework.
  • Perform PTP balance sheet reconciliation in a timely manner and make sure all GLs are cleared, maintained and followed-up.
• Handling and coordinating requests of the strategic/global/critical suppliers, perform complex issue resolution.
• Play a key role in assigned process mitigation, standardization, promoting effectiveness and efficiency in a day-to day operation.
  • Daily management of queries received via ServiceNow or email within Operational KPI/SLAs.
  • Supporting the resolution of issues, solving open tickets and analysing / solving root causes of queries securing sustainable fixes, solving escalations received from both internal and external parties.
  • Monitoring ticket volume, trends, identifies, analyses and logs root causes, initiates elimination projects with peer departments (Category/Business Procurement, Accounts Payable, Accounts Receivable, Record-to-Report, IT, etc).
  • Identifies bottle necks in (work) processes, provide proposals on improvement opportunities, ensure implementation after approval and track progress.
  • Identifies and where possible implements opportunities in process and tool standardization (eg. ServiceNow) that drive performance efficiency.
  • Ensure knowledge & information level of the E2E PtP teams is kept up-to-date.
• Monitor internal and external developments and share relevant information.
• First line of support on PtP systems (Coupa/Alusta) or portals for suppliers.

Governance and Stakeholder Management

• Provide insights at request or at own initiative regarding quantitative and qualitative developments.
• StP Reviews : Leads, owns the Source to Pay governance with the different OpCo’s and Business units – ensuring a rigid cadence of action and metrics reviews.
• Build a strong governance vertically within the team and upline management as well as horizontally across the different business units and process and control teams.
• Builds a strong governance around query management vertically within the team and upline management as well as horizontally across the different business units and process and control teams.
• Maintaining documentation in accordance with local legislation and company policies.
• Ensuring of execution of tasks in line with the internal control framework.
• Contributes to the development of the department strategy (Big Rocks) and annual plan based on own expertise and activities of own team.

Project and Process Optimalization

• Secure an optimized team in E2E operations for a dedicated business unit under one umbrella within GBS.
• Identify bottle necks in (work) processes, provide proposals on improvement opportunities, ensure implementation after approval and track progress.
• Lead continuous improvement in the ways of working within the team and the daily operations, interactions with other key stakeholder teams with the outlook to drive further efficiency across the team.
• Lead and support initiatives within P2P and GBS in process and tool standardization (e.g. Power BI) that drive performance efficiency.

Knowledge Development

• Ensure knowledge & information level of the E2E PtP teams is kept up to date regarding company, organizational and team results, changes, announcements etc.
• Grow the team into a solution oriented, client focused team with an E2E understanding of P2P.

Strategy Input

• Contribute to the development of the department strategy (Big Rocks : No Po No Pay / Touchless Invoicing / Vendor Reduction) and annual plan based on own expertise of Procure to Pay and activities of own team.

Performance Management

• Drive leading performance mindset in teams with a focus on continuous improvement to drive efficiency and maintain service level within the team.

Compliance

• Responsible for leading a compliant operation, implementation and execution of Internal Control Framework and Segregation of Duties.
• Work with the Risk & Control team to coordinate the internal and external audits.

Payment Approval

• The lead is responsible for taking part in the recurring payment approval process.

Budget

• Translate the overall FrieslandCampina/Finance/Procurement strategy and PtP input into a year plan/budget for the PtP team as part of the GBS organisation and acquire approval.
• Ensure implementation and assessment of the financial (year) plan/budget for the department that is aligned and approved by GBS LT.

Reporting and Management information

• Provide insights at request or at own initiative regarding quantitative and qualitative developments by means of periodical and ad hoc reports and/or analyses, based on reporting principles.
• Provide insights in MBR/SPR at request or at own initiative regarding quantitative and qualitative developments by means of periodical and ad hoc reports and/or analyses, based on reporting principles.
• Ensure monthly KPI/OPI reports are produced (QBR, MBR, SPR), according to defined formats, procedures and legislation.
• Safeguard accurate and timely reports towards key stakeholders on key performance indicators.

People management

• Leads, coaches, mentors, develops and appraises employees within own team through leading performance.
• Implements a robust back up and knowledge retention plan within own team.
• Empowers people by making sure the decisions are made on the lowest possible level of the organization.
• Ensure proper staffing, development and motivation of personnel.

Job Requirements:

• 5+ years of experience in Procurement, Accounts Payable, or a Global Business Services (GBS) environment within an international and multicultural setting.
• Proven leadership experience with at least 2+ years managing teams, including people management responsibilities.
• Strong end-to-end Procure-to-Pay (PtP) process knowledge with a continuous improvement and problem-solving mindset.
• Excellent stakeholder management, communication, and influencing skills, with the ability to lead and inspire teams in a multicultural environment.
• Proficiency in ERP systems and digital tools, including SAP, Coupa, Alusta, Power BI, and other automation/reporting solutions; able to thrive in a complex, fast-paced transformation environment.
