RESPONSIBILITIES AND AUTHORITY
1. Driver Management (Company & Subcontracted Drivers)

i. Oversee the recruitment, deployment, scheduling, attendance, performance, and overall management of all company and subcontracted drivers.

ii. Maintain and regularly update the driver database, including records for company and subcontracted drivers.

iii. Ensure all drivers comply with company SOPs, safety standards, client requirements, and applicable laws and regulations.

iv. Conduct driver briefings, coaching sessions, performance reviews, and corrective actions where required.

v. Manage driver disciplinary matters, including the issuance of show-cause letters, warning letters, and recommendations for further disciplinary action in cases of repeated or serious violations.

vi. Monitor and enforce proper driver conduct, professionalism, grooming, uniform standards, and compliance with company policies.

vii. Coordinate closely with the Fleet Admin and Transport Admin teams to ensure real-time monitoring, accurate record-keeping, and effective follow-up on driver behaviour and trip execution.

2. Transport Supervisor Management

i. Supervise and provide direction to Transport Supervisors in the execution of their daily operational responsibilities.

ii. Ensure Transport Supervisors effectively monitor driver attendance, trip readiness, vehicle condition, and compliance with approved schedules.

iii. Review Transport Supervisor reports to ensure accuracy, completeness, and timely submission.

iv. Provide guidance, coaching, and operational support to Transport Supervisors to improve efficiency, accountability, and service delivery.

3. Trip Planning and Route Management

i. Plan, approve, coordinate, and manage daily trip schedules, routes, and driver assignments.

ii. Ensure all trips are executed safely, efficiently, and within the required timelines and service standards.

iii. Monitor real-time trip execution through GPS, Track Vision, or other approved vehicle-tracking systems.

iv. Review and adjust routes, schedules, or trip assignments in response to traffic conditions, operational disruptions, vehicle issues, emergencies, or other unforeseen circumstances.

v. Coordinate with the Fleet HOD to ensure vehicle availability, operational readiness, and compliance requirements are fulfilled before trips commence.

4. Operational Monitoring and Documentation

i. Collect, verify, maintain, and regularly review daily trip logs, driver attendance records, claims, and other operational documentation for company and subcontracted drivers.

ii. Closely monitor and follow up with the GPS/Fleet Admin team regarding:

a. Driver speeding incidents
b. Unauthorized or illegal vehicle usage
c. Trip status updates and route compliance
d. Other significant GPS or telematics-related exceptions

iii. Ensure all driver documentation for both company and subcontracted drivers is complete, accurate, current, and properly updated in Track Vision.

iv. Identify and escalate significant operational issues, repeated violations, or serious driver performance concerns to Management.

v. Prepare, review, and submit operational reports, trip summaries, incident reports, and other management reports as required.

vi. Monitor operational performance and identify recurring issues, trends, and areas for improvement.

5. Subcontracted Driver Management

i. Monitor and manage all subcontracted drivers assigned to the company.

ii. Ensure subcontracted drivers comply with company policies, SOPs, safety requirements, and client-specific operational standards.

iii. Maintain accurate records of subcontracted driver attendance, trip logs, performance, and compliance.

iv. Investigate and resolve operational issues involving subcontracted drivers, including matters relating to behaviour, attendance, compliance, and trip execution.

v. Escalate repeated, serious, or unresolved issues involving subcontracted drivers to the Operations Manager or Management for further action.

vi. Work closely with subcontractors to address performance gaps and ensure continuous compliance with company and client requirements.

6. Safety, Compliance and Driver Conduct

i. Ensure all drivers comply with the Road Transport Act, APAD requirements, applicable regulations, company policies, SOPs, and client safety requirements.

ii. Monitor driver safety compliance, including the proper use of safety equipment, seat belts, vehicle safety features, and adherence to applicable traffic laws.

iii. Ensure all accidents, traffic summonses, safety violations, and operational incidents are promptly reported, investigated, documented, and escalated where necessary.

iv. Conduct or coordinate investigations into accidents, safety incidents, and repeated violations, and recommend appropriate corrective and preventive actions.

v. Monitor recurring safety and compliance issues and implement measures to prevent their recurrence.

vi. Promote a strong safety culture by ensuring drivers and Transport Supervisors understand and consistently follow established safety procedures.

7. Operational Authority and Accountability

i. Exercise operational authority over driver deployment, trip assignments, route adjustments, and day-to-day transport activities within approved company policies and procedures.

ii. Take immediate operational action in response to emergencies, vehicle breakdowns, driver absenteeism, traffic disruptions, safety incidents, or other circumstances that may affect service delivery.

iii. Escalate matters requiring Management approval, including serious disciplinary cases, major safety incidents, repeated non-compliance, significant service disruptions, and matters with potential financial or reputational impact.

iv. Ensure all operational decisions are made with due consideration for safety, compliance, service quality, efficiency, and client requirements.

v. Maintain clear accountability for the performance, discipline, readiness, and operational compliance of drivers and Transport Supervisors under the assigned area of responsibility.

iv. Participate in the implementation, monitoring, and continuous improvement of operational systems, including GPS tracking, Track Vision, trip scheduling tools, and driver monitoring platforms.

v. Work closely with the Fleet HOD, GPS Fleet Administrator, Transport Administrator, HR, Finance, and QA teams to ensure smooth and efficient daily transport operations.

vi. Participate in operational meetings, toolbox meetings, safety briefings, and management discussions as required.

vii. Provide on-the-job guidance, coaching, and mentoring to transport supervisors and drivers to improve discipline, safety awareness, operational efficiency, and service quality.

viii. Assist in managing and resolving client complaints relating to drivers, trip execution, and transport services, ensuring timely investigation, follow-up, and resolution.

ix. Maintain strict confidentiality of driver information, operational data, client information, and internal reports at all times.

x. Perform ad-hoc assignments, special projects, and other operational duties relating to driver supervision, trip management, compliance, and transport operations as assigned by management.

QUALIFICATION AND EXPERIENCE

1. Diploma or Bachelor’s Degree in Transport Management, Logistics, Operations Management, Business Administration, or a related field.

2. Minimum of 5 years of relevant working experience in transport operations, driver supervision, fleet management, or logistics-related roles.

3. Proven experience in managing company and subcontracted drivers, including driver scheduling, discipline, attendance, performance monitoring, and operational coordination.

4. Proficient in using GPS and fleet management systems, such as Track Vision, as well as trip monitoring and scheduling tools.

5. Good knowledge of the Road Transport Act, APAD requirements, transport regulations, and occupational safety requirements.

6. Strong leadership, communication, coordination, problem-solving, and decision-making skills.

7. Basic to intermediate proficiency in Microsoft Office applications, particularly Microsoft Excel, Word, and Outlook.

8. Ability to work under pressure, manage operational emergencies, resolve issues promptly, and make effective decisions within a fast-paced transport environment.

WORKING CONDITIONS

1. Work location: Primarily office-based, with regular site visits and on-site operational monitoring as required.

2. Required to work flexible hours, including weekends or public holidays when necessary to support transport operations.

3. May be required to respond to operational emergencies or urgent transport-related matters outside normal working hours

Pay: RM3,000.00 - RM3,500.00 per month
