Job Summary
Provide comprehensive administrative and operational support by overseeing facilities management, asset and contract administration, and workplace safety and health (HSE) functions to ensure efficient office operations, a safe and compliant working environment, and a well-governed administrative framework that supports organisational effectiveness, continuity, and compliance.
Job Description
- Manage and maintain contract databases and administrative records, ensuring accuracy, completeness, and audit readiness to support governance and oversight.
- Oversee and coordinate building and facilities management, ensuring a safe, functional, and well-maintained workplace environment.
- Manage admin related procurement and administer invoice tracking and payment processes for HR and administrative matters, ensuring accuracy, timeliness, and compliance with financial controls.
- Manage and control the full asset lifecycle, ensuring accurate records, proper verification, and compliance with asset management policies.
- Lead and implement workplace safety and health (HSE) programmes, ensuring compliance with OSH regulations and a safe working environment.
- Develop, implement, and manage administrative policies, procedures, and services, including office administration, meeting support services, refreshment arrangements, facilities, cleaning services, and vendor management, ensuring operational continuity, cost-effectiveness, service quality, and compliance with organisational requirements.
- Conduct and oversee workplace safety inspections, audits, and risk assessments (HIRARC), ensuring identification and mitigation of risks.
- Investigate and manage workplace incidents and near misses, ensuring root cause analysis and implementation of corrective and preventive actions.
- Plan and coordinate safety training, awareness initiatives, and emergency preparedness activities to ensure workforce readiness.
- Maintain and ensure the integrity of OSH documentation and statutory records, ensuring accuracy and compliance with legal requirements.
- Support and coordinate internal and external audits related to administrative and HSE functions, ensuring audit readiness and closure of findings.
- Actively contribute to process improvement initiatives, providing feedback and supporting implementation of enhancements while building technical expertise and improving team effectiveness.
Job Requirements
- Minimum 5 years of experience in administrative operations, facilities management, asset and contract administration, and workplace safety and health (HSE).
- Bachelor’s degree in Business Administration, Facilities Management, Office Management, Operations Management, or any related field.
- Professional certifications in Occupational Safety and Health (e.g., SHO/OSH Coordinator certification) or Facilities Management are an added advantage.
- Strong understanding of administrative governance, facilities and vendor management, asset lifecycle management, financial administration processes, and occupational safety and health (OSH) regulations and compliance requirements.
- Demonstrates strong organisational skills, attention to detail, and ability to manage multiple operational processes, documentation, and compliance requirements effectively.
- Exhibits effective stakeholder management, vendor coordination, communication, planning and coordination, problem-solving, and continuous improvement mindset in managing administrative and facilities operations.
