Position: Procurement Executive

1. Job Purpose
The Procurement Executive is responsible for managing and coordinating the end-to-end procurement process, ensuring the timely and cost-effective sourcing of goods and services while maintaining compliance with procurement policies, financial controls, and approval procedures.
The role will support the increasing procurement requirements arising from the expansion of school operations and projects, while ensuring continuity, efficiency, supplier management, and effective procurement governance.
2. Key Duties & ResponsibilitiesProcurement Operations
- Manage the end-to-end procurement process, including sourcing, quotation comparison, supplier evaluation, negotiation, and purchase order issuance.
- Process Purchase Requisitions (PR), Purchase Orders (PO), and other procurement documentation accurately and within the required timelines.
- Coordinate with internal departments to understand purchasing requirements and ensure the timely procurement of goods and services.
- Source suitable suppliers and obtain competitive quotations based on operational requirements.
- Evaluate quotations and suppliers based on price, quality, delivery timelines, service, and other relevant criteria.
- Monitor the status of purchase orders and ensure timely delivery of goods and services.
Supplier Management
- Maintain effective relationships with suppliers and service providers.
- Monitor supplier performance, delivery schedules, product/service quality, and compliance with agreed terms.
- Resolve procurement and supplier-related issues promptly.
- Maintain and update the supplier database, contracts, procurement records, and filing systems.
- Identify opportunities for cost savings through competitive sourcing and supplier negotiations.
Procurement Compliance & Governance
- Ensure all procurement activities comply with company policies, financial procedures, approval requirements, and procurement governance.
- Verify quotations, invoices, delivery orders, and supporting documents before payment processing.
- Ensure appropriate documentation and approval are obtained for all procurement activities.
- Support the standardisation and continuous improvement of procurement processes and workflows.
Reporting & Analysis
- Prepare procurement reports, expenditure analysis, and management updates as required.
- Monitor procurement spending and identify potential cost-saving opportunities.
- Provide accurate and timely information to Management regarding procurement activities, supplier performance, and outstanding purchases.
- Assist in implementing improvements to procurement processes, reporting, and internal controls.
General Responsibilities
- Manage urgent, high-volume, and time-sensitive procurement requests effectively.
- Work closely with internal departments to ensure smooth and uninterrupted procurement operations.
- Maintain a high level of accuracy, confidentiality, integrity, and professionalism in all procurement activities.
- Perform any other procurement-related duties and responsibilities as assigned by Management.
3. Qualifications & Requirements
- Bachelor's Degree or Diploma in Procurement, Supply Chain Management, Business Administration, or a related field.
- Minimum 2–3 years of experience in procurement or purchasing.
- Experience in the education sector will be an added advantage.
- Good knowledge of procurement processes, supplier management, and contract administration.
- Strong negotiation, analytical, and problem-solving skills.
- Good communication and interpersonal skills.
- Proficient in Microsoft Office, particularly Excel, Word, and PowerPoint.
- Familiarity with ERP or procurement systems.
- Able to work independently, manage multiple tasks, prioritise workload, and meet deadlines.
- High level of integrity, attention to detail, and commitment to procurement compliance and governance.
- Willing and able to work in the Cyberjaya area.
