Diploma or Bachelor's Degree in Business Administration, Management, Corporate Administration, Secretarial Studies, or a related field.
Minimum 2–3 years of relevant working experience in administration, operations, secretarial, corporate affairs, or association management.
Strong organisational, communication, coordination, and interpersonal skills.
Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
Good command of English and Bahasa Malaysia; Mandarin will be an added advantage.
Confident and capable of liaising with government agencies, regulatory authorities, Company Secretary, consultants, auditors, tax agents, members, and industry stakeholders.
Experience coordinating meetings, corporate events, training programmes, and stakeholder engagement activities.
Able to work independently, multitask, manage priorities, and meet deadlines.
Professional, responsible, detail-oriented, and able to handle confidential information with discretion.
Responsibilities
Job Responsibilities
Manage the daily administrative and operational activities of MCVTA.
Ensure smooth office administration and maintain proper filing, membership records, operational databases, statutory records, and compliance documentation.
Prepare meeting agendas, presentation materials, official correspondence, reports, resolutions, and minutes of meetings.
Coordinate Management Committee Meetings, AGM, EGM, and other Association meetings, including follow-up on action items.
Liaise with the Company Secretary on statutory and corporate compliance matters.
Liaise with government agencies and regulatory authorities on operational, licensing, compliance, and industry-related matters.
Coordinate with consultants, auditors, tax agents, industry stakeholders, members, and external service providers.
Manage membership applications, renewals, records, notices, circulars, and communications with members.
Build and maintain good working relationships with Association members and industry stakeholders.
Plan and coordinate exhibitions, annual dinners, networking programmes, seminars, training sessions, sponsorship activities, product launches, and other Association events.
Coordinate event logistics, registrations, venues, invitations, vendors, and other event arrangements.
Coordinate with designers, photographers, printers, digital agencies, and vendors for marketing and promotional materials.
Assist in preparing brochures, newsletters, presentations, corporate publications, and social media content.
Prepare periodic operational and Management reports.
Maintain confidentiality of Association, Management, and member information.
Perform any other operational, secretarial, administrative, or ad hoc duties assigned by Management.
