Requirements
Bachelor’s Degree in Human Resources, Business Administration, or a related field.
Minimum 5–8 years of relevant experience in payroll and compensation & benefits.
Proven experience managing payroll for 300+ employees.
Strong knowledge of Malaysian labour laws and statutory regulations.
Strong analytical skills with attention to detail and accuracy.
Ability to handle confidential information with integrity.
Experience in medium-to-large organizations will be an advantage.
Hands-on experience with payroll systems (e.g., HR2000 Payroll, or equivalent) as an active system user.
Proficiency in Microsoft Excel, including Pivot Tables, lookup functions, formulas, and data analysis.
Good working knowledge of Microsoft Office applications (Word, PowerPoint, Outlook).
Ability to generate payroll reports, perform data reconciliation, and manage large datasets with accuracy.
Responsibilities
Payroll Management
Manage and oversee the full spectrum of monthly payroll processing to ensure accuracy and timely payment.
Ensure compliance with statutory requirements including EPF, SOCSO, EIS, PCB, HRDF and other regulatory obligations.
Review payroll reports, reconciliations, and statutory submissions.
Handle payroll-related audits, tax filings, and regulatory inspections.
Maintain payroll records and ensure confidentiality of employee information.
Compensation & Benefits Administration
Administer employee benefits programs including insurance, medical claims, allowances, and other benefits schemes.
Support annual salary review, bonus, and incentive calculation processes.
Monitor market trends and provide recommendations on compensation structure and benefits competitiveness.
Review and improve compensation policies and procedures where necessary.
Reporting & Analysis
Prepare payroll cost analysis, headcount reports, and manpower budgeting data.
Provide insights and recommendations to management on payroll cost optimization.
Ensure accurate HR data reporting for internal and external stakeholders.
Process Improvement & Compliance
Identify opportunities to improve payroll processes, automation, and controls.
Ensure compliance with Employment Act and other labour regulations.
Support HR projects related to rewards, benefits, or HR systems implementation.
Performance Management
Coordinate and administer the annual performance appraisal cycle, including system preparation, timeline management, and communication with departments.
Consolidate performance ratings and ensure accuracy of appraisal data for compensation review purposes.
Support the annual salary increment, bonus, and incentive review process by aligning performance outcomes with reward decisions.
Prepare performance analysis reports and provide insights to management for decision-making.
Ensure proper documentation and compliance with company performance management policies.
Stakeholder Management
Act as the point of contact for payroll and benefits-related inquiries from employees and management.
Liaise with external vendors, auditors, tax agents, and statutory bodies.
Others
Perform any other ad-hoc assignments and related duties as assigned by the superior from time to time.
