About Pints AI
Pints AI designs and deploys production-grade agentic AI systems for regulated financial institutions. We work with clients across insurance, asset management, and commercial banking, where reliability, compliance, governance, and data sovereignty matter.
Our team builds AI platforms that institutions can use securely and confidently in real-world operations.
About the role
We are looking for a sharp, dependable Operations and Admin Manager to help keep the company organised and moving.
This is a hands-on role combining office administration with operational coordination. You will take ownership of the practical work that keeps the team effective—from managing office needs and maintaining records to coordinating tasks, preparing documents, and following up on internal action items.
We do not expect you to arrive with all the answers. We do expect you to think: understand what needs to happen, set priorities, ask good questions, work through problems, and follow tasks through to completion. As you become familiar with the business, there will be opportunities to take on broader responsibilities.
What you’ll do
- Manage day-to-day office administration, including supplies, purchases, deliveries, vendors, records, and meeting arrangements
- Coordinate internal tasks and follow up with owners to keep actions moving
- Maintain trackers, shared documents, operational records, and simple reports
- Prepare meeting materials, capture decisions and action items, and follow through afterward
- Document recurring processes and keep internal information organised
- Coordinate employee onboarding and basic people-operations administration
- Oversee expense documentation, invoice coordination, and other basic finance administration
- Coordinate company events, visitors, travel arrangements, and team logistics
- Provide occasional support for sales, client, or project administration
- Identify and implement small improvements to make recurring work clearer, faster, or more reliable
- Take on other reasonable operational tasks as the company’s needs evolve
What we’re looking for
- A diploma or degree in a relevant discipline, or equivalent practical experience
- Organised, observant, and able to exercise sound practical judgment
- Reliable about deadlines, details, and closing the loop
- Comfortable taking ownership of both routine administrative work and less-defined tasks
- Able to manage competing priorities, work through problems independently, and escalate appropriately
- Clear and concise in written and verbal communication
- Comfortable using spreadsheets, presentation software, shared documents, email, and task-tracking tools
- Receptive to feedback and able to learn quickly from instructions and experience
- Interest in technology, AI, financial services, or growing companies is useful, but not required
Previous experience in operations, administration, or a similar role is expected. Evidence of ownership, initiative, and sound judgment matters more to us than a particular degree or job title.
What you’ll gain
- Minimum 3-5 years of working experience
- First-hand experience of how a growing AI company operates
- Exposure to business, people, finance, sales, and project operations
- Ownership of day-to-day operations, with room to take on broader responsibilities
- Opportunities to improve real processes
- Experience working alongside a team deploying AI in regulated industries
