Job Description

Requirements

  1. Bachelor’s Degree in Business Management, Office Management, Administration, Education Management, Quality Management, or related fields.

  2. Minimum 3 years of experience in administration, project coordination, quality management, consultation, training operations, or audit-related roles.

  3. Experience in managing documentation, stakeholder coordination, reporting, and operational processes.

  4. Experience in education, training, franchise operations, or quality assurance environments will be an advantage.

  5. Strong administrative management skills with the ability to manage multiple priorities and deadlines effectively.

  6. Excellent documentation control, record management, and reporting skills.

  7. Ability to coordinate projects, programmes, and operational activities with minimal supervision.

  8. Strong communication and stakeholder management skills involving internal teams, trainers, consultants, auditors, and external parties.

  9. Ability to analyse operational issues and support process improvement initiatives.

  10. Proficient in Microsoft Office and digital administrative platforms.

  11. Ability to prepare professional reports, presentations, and documentation.

  12. Knowledge of ISO Quality Management System, training management, or audit processes will be an advantage.

  13. Certifications related to administration, project management, quality management, ISO, training coordination, or auditing will be advantageous.


Responsibilities

Administration Management

  1. Manage and coordinate daily administrative operations to ensure smooth execution of Training Academy activities.

  2. Manage documentation, records, and filing systems to ensure proper document control, accessibility, accuracy, and audit readiness.

  3. Coordinate training programme administration, including preparation of training materials, documentation, schedules, and operational requirements.

  4. Maintain departmental processes, workflows, and records in accordance with organisational requirements and ISO Quality Management System standards.

  5. Support the preparation of departmental reports, tracking records, and performance updates for management review.

  6. Coordinate communication and administrative arrangements with trainers, consultants, auditors, vendors, and internal departments.

  7. Support quality improvement initiatives by identifying operational gaps and recommending practical solutions.

  8. Ensure proper maintenance of Training Academy records, including training, consultation, audit, and compliance-related documentation.

Consultation Management

  1. Manage consultation requests from operators, management teams, and education stakeholders.

  2. Gather consultation requirements, identify key areas of support, and coordinate suitable consultants based on the needs identified.

  3. Manage consultation arrangements, including scheduling, communication, meeting preparation, and required documentation.

  4. Support consultation sessions by coordinating session flow, stakeholder communication, and documentation of key discussion points.

  5. Maintain consultation records, reports, feedback, and follow-up actions for monitoring and future reference.

  6. Prepare consultation summaries and reports to support service evaluation and continuous improvement.

  7. Ensure consultation activities are conducted professionally and aligned with Training Academy guidelines.

Audit Management

  1. Coordinate academic audit activities to ensure compliance with TLCP standards, quality requirements, and established audit procedures.

  2. Manage audit planning, including auditor assignment, audit schedules, documentation preparation, and stakeholder communication.

  3. Coordinate auditor training, briefing sessions, and preparation of audit-related resources.

  4. Monitor audit progress, submission of audit results, corrective actions, and required follow-up activities.

  5. Maintain audit records, reports, and documentation for quality monitoring, compliance reviews, and management reporting.

  6. Support audit system administration and data management to ensure accurate tracking and reporting of audit activities.

  7. Coordinate with relevant departments to support continuous improvement initiatives based on audit findings.
