Requirements
- Diploma / Bachelor's Degree in Construction Management, Civil Engineering, Quantity Surveying, Project Management, Business Administration or a related field.
- Preferably 2 years of relevant experience in construction, property development, project coordination or related industries.
- Experience dealing with consultants, contractors and government authorities will be an advantage.
- Good understanding of project coordination, documentation and administrative procedures.
- Good communication and interpersonal skills.
- Able to communicate effectively in English and Bahasa Malaysia.
- Good follow-up and organisational skills.
- Proficient in Microsoft Office, particularly Word, Excel and Outlook.
- Able to manage multiple projects, deadlines and tasks simultaneously.
- Able to work independently with minimum supervision.
- Willing to travel to project sites, government offices and other locations when required.
- Possess own transport and a valid driving licence is an advantage.
Responsibilities
1. Project Coordination & Monitoring
- Coordinate and monitor the overall progress of company projects.
- Follow up on project activities, submissions, approvals and outstanding matters.
- Maintain an updated project schedule, status and action list.
- Coordinate meetings and discussions involving management, consultants, contractors and other project stakeholders.
- Monitor outstanding issues and ensure timely follow-up with the relevant parties.
- Report project progress, issues, delays and important updates to management.
2. Consultants & Contractors Coordination
- Liaise and coordinate with architects, engineers, quantity surveyors, project managers, contractors and other consultants.
- Follow up on drawings, reports, quotations, technical documents, submissions and approvals.
- Coordinate communication between the company and project consultants.
- Monitor consultants' and contractors' deliverables and ensure that required documents are submitted within the agreed timeline.
- Assist in resolving coordination issues between different project parties.
3. Quotation & Procurement Coordination
- Obtain and coordinate quotations from contractors, suppliers and service providers.
- Follow up on pricing, scope of work, specifications and quotation validity.
- Coordinate with relevant departments on purchase orders, work orders and project-related procurement.
- Maintain proper records of quotations, approvals and related documents.
4. Government Authorities & Land Office Matters
- Liaise and coordinate with relevant government authorities and agencies in relation to project matters.
- Follow up with the **Pejabat Tanah, local authorities, planning authorities and other relevant government departments.
- Coordinate applications, submissions, supporting documents, approvals and correspondence relating to projects.
- Monitor the status of applications and ensure timely follow-up.
- Maintain proper records of all submissions, approvals, letters and correspondence.
5. Project Documentation & Records
- Maintain proper and organised project files and documentation.
- Maintain records of drawings, approvals, quotations, contracts, correspondence, meeting minutes, permits and licences.
- Ensure important project documents are properly filed and easily retrievable.
- Prepare project status reports and documentation for management when required.
- Track deadlines, submission dates and approval status.
6. Project Administration
- Handle day-to-day administrative coordination relating to projects.
- Arrange appointments, meetings, site visits and discussions with relevant parties.
- Prepare letters, emails and official correspondence relating to project matters.
- Coordinate documents required by management, consultants, authorities and other stakeholders.
- Assist management in any project-related tasks and assignments.
7. Site & Project Follow-Up
- Conduct site visits when required to monitor project progress and follow up on outstanding matters.
- Coordinate with site personnel, contractors and consultants on project issues.
- Report significant site issues, delays or discrepancies to management.
