Job Description

Requirements

  • Develop and maintain project documentation, including project plans, status reports, risk registers, and meeting minutes, ensuring accuracy and completeness for all projects managed by the PMO.

  • Support project managers in tracking project timelines, budgets, and resource allocation, identifying potential deviations and proactively communicating them to stakeholders.

  • Assist in the standardization of project management methodologies, tools, and templates across the organization to ensure consistent project execution and reporting.

  • Facilitate communication and collaboration between project teams, stakeholders, and senior management by organizing and documenting key project meetings and decision-making processes.

  • Contribute to the continuous improvement of PMO processes and best practices by analyzing project performance data, identifying lessons learned, and recommending actionable insights.

  • Manage and update the project portfolio, ensuring all project information is current and accessible to relevant parties, and assist in resource forecasting and capacity planning.

  • Provide administrative support to the PMO, including scheduling meetings, managing calendars, and preparing presentations, utilizing strong organizational and time management skills.

Responsibilities

  • Support the PMO Manager in establishing and maintaining project management standards, methodologies, and best practices across the organization.

  • Assist in the development and tracking of project plans, schedules, budgets, and resource allocation for multiple projects simultaneously.

  • Facilitate project status meetings, document key decisions, action items, and risks, and ensure timely follow-up and resolution.

  • Prepare and present regular project status reports, dashboards, and performance metrics to project teams, stakeholders, and senior management.

  • Contribute to the identification and mitigation of project risks and issues, escalating critical concerns as needed.

  • Maintain project documentation, including project charters, scope statements, requirements, and lessons learned, ensuring accuracy and completeness.

  • Support the onboarding and training of new project team members on PMO processes and tools.

  • Collaborate with cross-functional teams to ensure alignment on project objectives, deliverables, and timelines.

  • Assist in the post-project review process, capturing key learnings and recommending improvements for future projects.

  • Utilize project management software and tools to manage project information and facilitate communication.
