Job Description

Responsibilities

The Document Controller oversees and manages all incoming and outgoing project documentation, drawings, correspondence, and technical records across civil and construction projects. This role ensures systematic tracking, strict version control, compliance with quality standards, and seamless distribution of critical site files between project managers, site engineers, subcontractors, and clients.

Key Responsibilities

1. Document Management & Quality Control

  • Establish, implement, and maintain the Electronic Document Management System (EDMS) and hard-copy filing structures.
  • Index, register, and store technical documentation including AFC (Approved for Construction) drawings, shop drawings, method statements, RFIs, submittals, and material safety data sheets.
  • Enforce strict document numbering protocols, revision controls, and approval workflows across all project stages.

2. Correspondence & Transmittal Handling

  • Issue and track incoming and outgoing document transmittals (Incoming/Outgoing Transmittals).
  • Log and distribute RFIs (Requests for Information), CVI (Confirmation of Verbal Instruction), and NCRs (Non-Conformance Reports) to designated engineers and managers.
  • Maintain complete and updated logs for site correspondence, progress reports, meeting minutes, and inspection reports.

3. Site & Team Coordination

  • Coordinate closely with Project Managers, Site Engineers, Safety Personnel, and Subcontractors to ensure site teams work strictly from the latest drawing revisions.
  • Archive superseded drawings and clear outdated physical prints from site boards to avoid execution errors.
  • Assist in assembling handover packages, O&M (Operation & Maintenance) manuals, and As-Built drawings for client handover.

4. Compliance & Archiving

  • Perform regular internal audits on document logs to ensure project records remain complete and audit-ready.
  • Secure confidential documents and regulate access rights according to corporate authority matrices.

Qualifications & Requirements

Education: Diploma or Bachelor's Degree in Business Administration, Civil Engineering, Management, or related field.

Experience: 2 to 5 years of document control experience within the civil engineering, construction, or infrastructure sector.

Software Proficiency: Proficiency in EDMS platforms (Aconex, Procore, AutoDesk Construction Cloud, SharePoint) and Microsoft Office Suite.

Key Skills: Attention to detail, structured organization, drawing notation familiarity, clear cross-departmental communication.

Pay: RM3,000.00 - RM5,000.00 per month
