Job Description

Requirements

  • Minimum Diploma in Property Management, Building Services, Facilities Management, or a related field.

  • Proven track record of 3-5 years in building management, property operations, or facilities management, preferably within a corporate or residential setting.

  • Demonstrated expertise in overseeing daily building operations, including maintenance, security, cleaning, and landscaping services.

  • Strong understanding of property management principles, including tenant relations, lease administration, and rent collection processes.

  • Experience in coordinating and managing maintenance activities, ensuring timely and effective resolution of issues, and overseeing external contractors.

  • Proficiency in managing building budgets, controlling expenses, and identifying cost-saving opportunities.

  • Excellent communication and interpersonal skills to effectively liaise with tenants, vendors, staff, and senior management in English, Bahasa Malaysia, and Mandarin.

  • Knowledge of health, safety, and security regulations relevant to building management, with the ability to implement and enforce policies.

  • Proven ability to manage vendor relationships, negotiate contracts, and ensure service level agreements are met.

  • Strong customer service orientation with a commitment to providing a high level of service to building occupants and stakeholders.

Responsibilities

  • Oversee the day-to-day operations of the building, ensuring a safe, secure, and well-maintained environment for all tenants and visitors.

  • Manage all aspects of building maintenance, including coordinating repairs, preventative maintenance schedules, and overseeing external contractors to ensure timely and quality workmanship.

  • Develop and manage the building's operational budget, including forecasting expenses, monitoring expenditures, and identifying cost-saving opportunities.

  • Foster positive tenant relations by addressing inquiries, concerns, and requests promptly and professionally, ensuring high levels of tenant satisfaction and retention.

  • Implement and enforce building policies and procedures, including safety and security protocols, emergency preparedness plans, and access control systems.

  • Manage vendor relationships, including sourcing, negotiating contracts, and overseeing the performance of service providers such as cleaning, landscaping, and security personnel.

  • Conduct regular building inspections to identify potential issues, ensure compliance with regulations, and maintain the aesthetic appeal and functionality of the property.

  • Coordinate with the leasing team to facilitate tenant move-ins and move-outs, ensuring all necessary paperwork and building access are handled efficiently.

  • Supervise and train building staff, including maintenance personnel and administrative support, to ensure efficient and effective service delivery.

  • Maintain accurate records of building operations, maintenance activities, tenant communications, and financial transactions.
