Job Description
The Finance Assistant/Admin is responsible for managing the clinic’s financial records, processing payments, preparing basic payroll and generating financial summaries for management. This role includes handling documentation for accountants and audits, while strictly adhering to the clinic’s financial procedures. Finance Assistant is not authorized to make major financial decisions without the Owner’s approval.
Tasks and Duties
- Record daily sales, including consultations, procedures, medications and services
- Record all daily expenses
- Collect, review and filing receipts and invoices
- Update cashbook and accounting systems
- Monitor cash and bank balances
- Review unusual expenses and outstanding bills
- Check supplier balances and payments
- Prepare weekly financial summaries for management
- Perform bank reconciliation
- Prepare cash flow reports
- Prepare profit and loss summaries
- Manage payroll, including statutory contributions (EPF, SOCSO, EIS)
- Prepare documents for external accountants or audits
- Ensure all payments are supported by valid invoices and approved by the Owner
- Maintain all payment evidence and file appropriately
- Handle confidential financial and payroll information with integrity
- Report any errors or discrepancies immediately
- Provide excellent support to management with accurate and timely financial information
- Ensure compliance with safety, hygiene and ethical standards in financial handling
Requirements
- Diploma in accounting, finance or related fields
- Prior experience in finance or accounting is preferred; fresh graduates are welcome to apply
- Strong organizational and multitasking skills
- Proficient in using accounting software and basic computer applications
- Experience using SQL systems for data management is a plus
- Good communication and interpersonal skills
- Detail-oriented, responsible and disciplined
- Able to maintain confidentiality and handle sensitive financial information
- Willingness to learn and adapt in a fast-paced healthcare environment
