Job Description

Requirements

- Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or a related field.
- 2–5 years of relevant working experience in Human Resources, preferably in an FMCG or manufacturing environment.
- Experience in handling attendance, leave administration, overtime, recruitment, employee relations, disciplinary matters, training coordination, and HR administration.
- Experience in handling foreign workers will be an added advantage.
- Good knowledge of the Employment Act 1955, Industrial Relations practices, and Malaysian labour legislation.
- Hands-on experience with HRMS/HRIS systems, including attendance, leave, and employee record management.
- Proficient in Microsoft Excel (including formulas, Pivot Tables, VLOOKUP/XLOOKUP, data filtering, and report preparation), as well as Microsoft Word and PowerPoint.
- Strong analytical, organizational, and problem-solving skills with attention to detail.
- Good interpersonal and communication skills, with the ability to interact effectively with employees at all levels.
- Able to work independently while managing multiple priorities in a fast-paced manufacturing environment.
- A proactive, positive, and openness to new changes mindset.

Responsibilities

- Human Resources Operations
Manage and maintain employee attendance, leave, overtime (OT), shift records, and other HR documentation.
Monitor attendance irregularities and coordinate with department heads on attendance-related matters.
Maintain accurate employee records and ensure HR documentation is updated in a timely manner.
Support payroll preparation by ensuring attendance and leave records are accurate.
Ensure HR policies, procedures, and employee records comply with company requirements.

- Recruitment & Onboarding
Coordinate end-to-end recruitment activities, including job postings, resume screening, interview scheduling, and candidate communication.
Assist in onboarding and orientation programmes for new employees.
Prepare employment contracts, confirmation letters, and other employment-related documentation.
Coordinate pre-employment requirements and new hire documentation.

- Employee Relations & Disciplinary
Support employee relations matters and address employee enquiries professionally.
Assist in handling disciplinary cases, including counselling sessions, warning letters, domestic inquiries, and documentation.
Support grievance handling and conflict resolution where necessary.

- Training & Development
Coordinate internal and external training programmes & HRDC Submission.
Maintain training records and monitor employee training completion.
Assist in identifying training needs and coordinating annual training plans.
Support HR initiatives related to employee learning and development.

- Foreign Worker Management (where applicable)
Assist in managing foreign worker documentation and records.
Liaise with relevant government agencies, service providers, and internal stakeholders on foreign worker-related matters.

- Administration
Handle general HR and office administrative duties.
Maintain proper filing systems for HR and administrative documents.
Prepare HR reports and other reports as required.
Support internal and external HR audits.
Liaise with government agencies, vendors, and external service providers when required.
Perform any other HR and administrative duties assigned by the Management.
