Facilities Manager

Job Requirements

• Bachelor's Degree in Mechanical Engineering, Electrical Engineering, Facilities Management, Property Management, Engineering or a related discipline. A Master's Degree will be an added advantage.
• Minimum 5 years' relevant experience, including at least 3 years in a managerial or supervisory role, preferably in shopping mall, commercial or mixed-use property management.
• Strong knowledge of Malaysian building regulations, including the Street, Drainage and Building Act, Fire Services Act, Occupational Safety and Health (OSH) requirements and other relevant statutory regulations.
• Sound understanding of building systems, including Mechanical & Electrical (M&E), HVAC, lifts and escalators, fire protection systems, CCTV, access control, plumbing and building automation systems.
• Excellent leadership, communication, interpersonal and stakeholder management skills.
• Strong analytical, planning, problem-solving and decision-making abilities.
• Self-motivated, proactive and able to work independently under pressure.
• Proficient in Microsoft Office applications and computerized maintenance management systems (CMMS).
• Excellent command of both English and Bahasa Malaysia, written and spoken.

Key Responsibilities

• Lead, supervise and manage the Facilities and Maintenance team to ensure the smooth and efficient operation of the shopping mall or commercial building.
• Oversee the day-to-day operations, maintenance and administration of the building, common areas, infrastructure and surrounding grounds.
• Develop, implement and monitor preventive and corrective maintenance programmes for all Mechanical & Electrical (M&E) systems, including HVAC, lifts, escalators, fire protection systems, generators, CCTV, access control, lighting and plumbing systems.
• Conduct regular inspections of building facilities to ensure operational efficiency, safety, cleanliness and compliance with statutory requirements.
• Plan, prepare and manage annual maintenance budgets, monitor operational expenditures and identify cost-saving initiatives without compromising service quality.
• Manage procurement activities, including preparing technical specifications, obtaining quotations, evaluating tenders, recommending contractors and suppliers and ensuring quality service delivery.
• Supervise and evaluate the performance of service providers, including security, cleaning, landscaping, pest control, waste management, lift maintenance and other specialist contractors.
• Ensure all statutory licenses, permits, insurance policies, certifications and service contracts are valid, renewed on time and fully compliant with regulatory requirements.
• Coordinate rectification, repair, refurbishment and upgrading works for common areas and building facilities while minimizing disruption to tenants and shoppers.
• Monitor utility consumption and implement energy efficiency initiatives to optimize operational costs and sustainability performance.
• Build and maintain strong working relationships with tenants, retailers, clients, authorities, consultants, contractors and other stakeholders.
• Respond promptly and professionally to tenant feedback, complaints and emergency situations, ensuring timely resolution and high customer satisfaction.
• Conduct regular operational meetings, toolbox briefings and performance reviews with the facilities team and service providers.
• Prepare and submit monthly management, maintenance, operational and performance reports to Management.
• Ensure full compliance with Workplace Safety & Health (OSH), Emergency Response Procedures, Fire Safety requirements and company policies.
• Lead, coach, mentor and develop the facilities team to achieve operational excellence and continuous improvement.
• Perform any other duties assigned by Management from time to time.

Job Type: Full-time

Pay: RM6,500.00 - RM8,000.00 per month
