About the Role

Biji-biji Initiative (BBI) is seeking a Project Lead to drive the planning and delivery of SEWF Regional Malaysia 2027. This is a fixed-term contract position running to May 2027.

SEWF (Social Enterprise World Forum) is a global convening platform for the social enterprise movement. The 2027 Regional event will bring together approximately 500 delegates from across Southeast Asia and beyond for a two-day programme in Kuala Lumpur. As Project Lead, you will be the operational backbone of this event — managing the end-to-end planning process, coordinating across all workstreams, and ensuring delivery to the highest standard.

Key Responsibilities

• Lead day-to-day project management of SEWF Regional Malaysia 2027 across all workstreams including programme, logistics, sponsorship, communications, and on-ground delivery.
• Develop and maintain the master planning tracker, milestones, and critical path through to post-event wrap-up.
• Serve as the primary coordination point between BBI, INSKEN, and the SEWF global team (lead contacts in Europe and Africa).
• Manage vendor and supplier relationships including venue, catering, stage production, AV, branding, and sustainability providers, with priority given to social enterprise suppliers.
• Oversee delegate registration, volunteer coordination, and on-ground event operations across the two event days and build/dismantle days.
• Work closely with the Partnerships Lead to support sponsor onboarding, deliverables, and relationship management.
• Coordinate with the Communications Lead on event marketing, social media, and participant communications.
• Prepare regular progress updates and reports for BBI leadership and SEWF.
• Manage the event budget in close coordination with BBI Finance, flagging risks and variances in a timely manner.
• Support post-event evaluation, documentation, and learnings capture.
• Coordinate with the broader project team, including freelancers and temporary contractors as they join, ensuring everyone is aligned on timelines, responsibilities, and deliverables.
• Be present on-ground across all event days, including build and dismantle, serving as the operational lead on-site.
• Work closely with the Project Director to support strategic direction, flag key decisions, and provide inputs where needed.

About You

• Minimum 4 years of experience in event or project management, preferably in a social impact, civil society, or community-facing context.
• Demonstrated ability to manage complex, multi-stakeholder projects from planning through delivery.
• Strong organisational skills with high attention to detail and the ability to manage competing priorities under pressure.
• Excellent interpersonal and communication skills in English; proficiency in Bahasa Malaysia is an advantage.
• Experience working with budgets and financial reporting.
• Familiarity with the social enterprise or nonprofit sector in Malaysia or Southeast Asia is desirable.
• Collaborative, resourceful, and proactive — able to work independently while keeping the wider team informed.
