The Administrative Executive is responsible for assisting the General Manager, Chartering team in administrative matters related to the department.
RESPONSIBILITIES
Provide administrative support to the Chartering Department by supporting administratively in market surveys and participating in tendering activities.
Assist with monthly invoicing and handle ad-hoc charter invoices as needed.
Support the accounts payable team by entering data into the Phoenix system and closely monitoring payments to vendors/suppliers.
Compile daily vessel reports for billing purposes.
Ensure that vessel trading certificates are kept up to date.
Perform additional tasks as assigned.
REQUIREMENTS
Minimum qualification: GCE O-Level, A-Level, Diploma, or equivalent qualification.
At least 3 years of experience as an Administrative Assistant or in a similar role, preferably within the marine industry.
Familiarity with marine tenders and the ability to establish and maintain strong relationships with marine industry stakeholders, including brokers, agents, and other industry players, to obtain relevant market and business information.
Possess strong communication, interpersonal, and organizational skills.
Proficient in IT and computer applications.
Well-versed in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
