ABOUT THE PROJECT
On behalf of a confidential international operator in the offshore oil & gas sector, EP2C is recruiting for a major, very deep-water greenfield development located offshore Namibia.
MISSION / ROLE DIMENSIONS
The SPS Lead Document Controller ensures the integrity, traceability and accessibility of all project documentation throughout the engineering, procurement, fabrication and construction phases of the Subsea Production System (SPS) package, for a major deep-water offshore development.
KEY RESPONSIBILITIES
- Define and implement the document management process for the SPS Work Package, in line with Company standards, project procedures, specifications and contractual requirements.
- Supervise and coordinate a team of Document Controllers to ensure consistency and quality across all documentation workflows.
- Own and maintain the Master Document List (MDL) as the governing reference for the document control process.
- Maintain the Document Management System (DMS) and ensure its proper configuration, usage and evolution throughout the project lifecycle.
- Validate contractor document submissions and facilitate review and approval workflows.
- Supervise the recording and issuance of project correspondence.
- Review document formatting and conformity to numbering, naming and issuance conventions prior to release.
- Follow up completion of the SPS final documentation and its delivery to Field Operations, as guided by the Project Lead Document Controller.
- Act as the primary point of contact for all documentation-related topics between the Company and SPS contractors.
- Generate periodic document status and progress reports for management and stakeholders.
- Audit controlled documents periodically to ensure compliance with DMS requirements and archiving standards.
- Assist in the management of the package SharePoint site (access rights, structure, etc.).
- Manage internal documentation, where applicable.
- Provide guidance and training to the document control team on systems and processes.
HSE, ETHICS & COMPLIANCE
- Report promptly to management on any documentation-related risks, non-conformities, or areas of concern.
- Ensure confidentiality and controlled access to all project documentation, in line with the Client's information security and Code of Conduct requirements.
CONTEXT & ENVIRONMENT
This position supports a major, very deep-water offshore greenfield oil & gas development located in Namibia, involving significant capital investment and an extensive drilling and completions campaign.
The project aims to maximise economic results by optimising reserves, schedule and costs, reducing greenhouse gas (GHG) emissions, and maintaining high technical quality and HSE standards.
The role interacts with stakeholders across multiple locations, including the SPS engineering office and fabrication yards, in an international, multicultural project environment.
DURATION / LOCATION
Starting date: October 2026
Duration: 12 months, renewable based on project needs
Estimated assignment length: Min 1 year
Location: Kuala Lumpur, Malaysia
Status: Residential, with occasional international travel (e.g., to fabrication yards)
QUALIFICATIONS & EXPERIENCE REQUIRED
- Proven experience as a Document Controller / Lead Document Controller on large offshore oil & gas or subsea projects, ideally in an EPSCC or EPCI contracting environment.
- Confirmed working knowledge of subsea production systems (SPS) documentation, including Xmas Tree / subsea equipment packages.
- Strong proficiency with Document Management Systems (DMS) and collaboration platforms (e.g., SharePoint or equivalent).
- Languages: English (confirmed / fluent level).
- Experience supervising or coordinating a document control team.
- Strong organisational, coordination and reporting skills.
- Ability to work with different disciplines, contractors and cultures in a complex, multicultural environment.
- Excellent written and communication skills.
