Position Overview
We are seeking a highly organized and detail-oriented Document Controller to join our international Project Management Consultant (PMC) team for a Data Center construction project in Cyberjaya.
The Document Controller will be responsible for managing, controlling, and maintaining all project documentation, ensuring compliance with project specifications, client requirements, and international standards.
This role will involve liaising closely with the client, consultants, contractors, and internal project teams to ensure accurate and timely flow of documents throughout all project phases, from design through testing, commissioning, and final handover.
Key ResponsibilitiesDocument Management & Control
- Establish and maintain a structured document control system in line with project, client, and ISO standards (ISO 9001 & ISO 45001).
- Manage the receipt, review, distribution, and tracking of all project documents, including:
- Shop drawings and as-built drawings
- Inspection & Test Plans (ITPs)
- Method Statements
- QA/QC reports and NCRs
- Test scripts and commissioning dossiers
- Final handover packages
- Ensure all project documents are accurately indexed, version-controlled, and traceable using Autodesk Construction Cloud (ACC) and SharePoint.
- Control document workflows, including submittals, approvals, transmittals, and distribution to relevant stakeholders.
Coordination & Communication
- Work closely with project engineers, QA/QC inspectors, testing & commissioning teams, contractors, and client representatives to ensure accurate and up-to-date documentation.
- Liaise with subcontractors and vendors on documentation requirements, ensuring timely submissions and compliance with specifications.
- Support the preparation and coordination of project reports, site memos, inspection records, and meeting minutes.
- Facilitate internal and external audits by organizing and maintaining a digital archive of project records.
Quality, Compliance & Handover
- Monitor documentation to ensure compliance with client requirements, local authority regulations, and PMC quality standards.
- Prepare and compile final handover documentation, including O&M manuals, commissioning reports, calibration certificates, and other close-out documents.
- Support the QA/QC and HSE teams by maintaining accurate records for safety, quality, and environmental compliance.
Key RequirementsEducation & Certification
- Diploma or Bachelor’s Degree in Engineering, Business Administration, Construction Management, or related field.
- ISO documentation experience and certification preferred (e.g., ISO 9001, ISO 45001).
Experience
- Minimum 3–5 years of experience in document control within the construction industry, preferably on data center or mission-critical projects.
- Proven experience working with an international PMC, EPC, or main contractor on large-scale engineering projects.
- Hands-on experience with Autodesk Construction Cloud (ACC) and SharePoint is mandatory.
Skills & Competencies
- Strong knowledge of document control procedures, workflows, and quality management systems.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document control platforms (EDMS).
- Excellent organizational and time management skills with a strong attention to detail.
- Effective communication and coordination skills, both written and verbal (English and Bahasa Malaysia).
- Ability to work under pressure in a fast-paced, international project environment.
- Team player with the ability to work independently and proactively.
Preferred Attributes
- Prior experience on hyperscale data center projects or other high-technology, mission-critical facilities.
- Knowledge of local construction standards, authority submission requirements, and regulatory processes.
- Experience supporting Testing & Commissioning (T&C) documentation and final handover processes.
